Salary £38,999 - £45,000 depending on experience

About the role 

We are looking for an experienced Executive Assistant to work with our newly formed Executive Board, as part of our wider commercial team. You’ll work closely and collaboratively with the company directors, our Board of Trustees, and our HR team.


You will be the diary manager for the Managing Director. This includes arranging travel and coordinating meetings for them. You will also support the wider executive board members with preparation for meetings. 


You will provide high quality support to the executive and trust boards including making practical arrangements for meetings, maintaining a forward plan of agenda items, liaising with the chair to prepare agendas and issuing accurate minutes following the meetings. 


As part of your role you will ensure that actions from meetings and followed up by the appropriate team member and take ownership and management of any governance issues; following up or taking any remedial actions if required.  


You will help manage our office Headquarters in Leeds, with the potential to support the commercial team with additional office spaces around the country. You will be responsible for liaising with cleaners, coordinating with the building management and addressing health and safety needs. 


You will be required to travel twice monthly to London to meet with the Executive Board,  Managing Director and wider commercial operations team. You will be required to attend in-person meetings with these groups and build and maintain working relationships across the organisation.

About you

You have strong administration and business operations capabilities including excellent verbal and written communication skills. You have experience in managing appointment schedules, researching and preparing important documentation, organising travel arrangements and managing emails on behalf of a Board member. 


You like meeting new people and working as part of a wider team, but also enjoy solving problems and taking the lead on your own projects and your professional development. You are comfortable working with senior client stakeholders, as well as internally managing different expectations across a wide range of seniority. 


You will have experience in supporting an executive and or trust board, including proven experience in taking and issuing accurate minutes. 


You have experience in high pressure environments and have the ability to remain calm and handle multiple competing priorities at the same time and with discretion.


Some experience of managing office environments would be helpful but is not essential.
