Job Description
The NOLS Wilderness Medicine Logistics Coordinator works as the main logistical support to NOLS Wilderness Medicine faculty. The Logistics Coordinator is an integral member of the Wilderness Medicine Staffing Team and ensures a smooth experience from home to course and back for Wilderness Medicine instructional staff.

Location: NOLS HQ Lander, WY or Remote in select locations

What does a Logistics Coordinator do?
The Logistics Coordinator position works as part of our Staffing Team. It’s a dynamic job where everyday can give you the chance to do something new and different but the main activities and roles you’ll find yourself doing are:
Supporting Wilderness Medicine faculty with course travel & logistics. This task involves booking flights, arranging ground transportation, and coordinating accommodations across multiple platforms, sponsor contacts, and automated systems and databases.
Resolving logistical issues and problems that may arise before/during/after courses in real time.
Working daily with a part-time pool of over 300 instructors in coordinating their travel and assisting them with reimbursement guidelines.
Attending weekly department meetings to understand travel needs, ensuring efficient and cost effective travel itineraries.
Working with NOLS Wilderness Medicine Program Team to process payroll and reimbursements for instructors.
Providing logistical support for the annual Wilderness Medicine Staff Meeting (when held in person).
Participating on committees and special projects as assigned and needed.
Fostering a positive and inclusive work culture of belonging for all employees through team-building activities.
You will function as an indispensable member of the Wilderness Medicine Staffing Team and a point person for all things related to instructor travel.
Assess travel related finance systems, processes, and reimbursement policies for improvements with a keen eye for best practices, inclusive processes, and organizational efficiencies.
Working with NOLS Wilderness Medicine Program Team to process payroll and reimbursements for instructors.
Providing logistical support for the annual Wilderness Medicine Staff Meeting (when held in person).
Participating on committees and special projects as assigned and needed.

Please note this list is not inclusive of all duties and responsibilities, but rather covers the more frequent tasks of the role. At the end of the day, through all of the above, the Logistics Coordinator is a major and integral component to the overall success of the Wilderness Medicine program.

Minimum Qualifications:
1 year of customer service experience
Mid-level technological proficiency; ideally with experience working with Mac, Google, and Microsoft systems.
In your first 6 months, you will:
Understand the primary responsibilities of the role.
Learn the necessary tools, software, and database capabilities.
Develop a solid understanding of the company's culture, values, and goals.
Establish a great working relationship with the outgoing Logistics Coordinator and all other Staffing Team members.
Meet or exceed expectations on assigned tasks and projects.
Develop independent problem-solving and decision-making abilities.
