Job Description

Role outline          

This is a challenging and busy role working side by side with the Chief Operating Officer. The Executive Assistant will be responsible for providing high level support and managing complex projects in addition to acting as the first point of contact between the Chief Operating Officer, the SLG and internal/external clients and coordinating and supporting the Operations team. 

 

Responsibilities 

  • Liaises with key partners at a high-level on behalf of the Chief Operating Officer 

  • Supports the organisation’s business planning cycle, helping to coordinate contributions of staff, foodbank network, clients and volunteers 

  • Maintains appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel 

  • Manages Operations team engagement; planning meetings, taking minutes and assisting in preparation of management reports, communications, presentations and other documents 

  • Undertakes projects on behalf of the Chief Operating Officer 

  • Reviews incoming correspondences by reading, researching, and taking action as appropriate; drafting letters and documents; collecting and analysing information; initiating communications 

  • Maintains client confidence and protects operations by keeping information confidential 

  • Manages key contracts with suppliers, ensuring high performance of services delivered 

  • Participate in regular 1:1s and annual reviews, contributing to the identification of objectives and targets, and monitoring of progress towards them 

  • Actively contribute to a culture of innovation, resourcefulness and best practice to make the best use of time and skills in the team 

  • Promote collaborative and flexible working across the Operations Directorate and the wider Trust.
