Turn2us is a national charity tackling poverty, we make grants to people living in financial insecurity and provide information to support people to understand their rights to social security and other available grants they may be able to access.

Impact & Innovation facilitates planning, impact measurement and digital innovation with and for internal colleagues, co-production partners who have lived experience of financial insecurity and external organisations. We work in partnership, often on a project-by-project basis, and we learn through doing. We are continuously growing and developing our practice – fuelled by openness, curiosity and bravery.

Turn2us has entered the strategy development process for the new 2023-2028 strategy. The 2023-28 strategy will build on the current strategy and be more ambitious and impactful. The Strategy Project Assistant will play a key role in ensuring that the new strategy is delivered in an effective and timely way. Working with the Senior Planning and Strategy Officer, you will be highly organised, enjoy working in a team, and have excellent verbal and written communication skills.

Job Description:

Job Title: Strategy Project Assistant              

Department: Planning & Projects

Directorate: Impact & Innovation

Reports to: Senior Planning & Strategy Officer

Location: Head Office, Hammersmith, London W6 7NL with opportunities for flexible working

Type of role: 9 months fixed term, full time

Purpose of the Role: Work with the Planning & Strategy Officer and the Director of Impact & Innovation to provide administrative support and help to deliver all activities that will contribute to the development of the Turn2us Strategy for 2022-23.

Duties:

1) Diary management, meetings and workshops administration

  • Support diary management for the directorate through this busy period.

  • Co-ordinate meetings and workshops for the strategy development, working with other diary managers to resolve conflicts as required.

  • Provide particular support to co-production partners ahead of meetings so they have all the joining instructions required.

  • Researching potential venues and sharing information with the project team for decisions.

  • Ensure all venues selected for face-to-face meetings are fully accessible and meet all attendees’ requirements.

  • Manage acceptances and apologies for meetings.

  • Arrange refreshments and lunches for meetings, checking dietary requirements.

  • Write notes for meetings and share minutes and actions.

  • Updating and housekeeping of electronic documentation and archiving of project documents.

  • Word processing, transcribing, data entry as required.

2) Communication

  • Support the Planning & Strategy Officer with internal communications for the strategy development process, setting up lunch and learns and drafting email updates.

  • Work with co-production leads to ensure co-production partners have access to the right information at the right time and in the right format.

  • Monitor the strategy development email inbox and respond to queries in a timely and professional manner.

  • Support with external communications opportunities as needed.

3) Other administrative support

  • Maintain the Strategy Development Teams channel to ensure all files are stored correctly and everyone can access the information they require.

These are the normal duties, which the charity requires from the position. However, it is necessary for all staff to be flexible and all employees will be required from time to time to perform other duties as may be required for the efficient running of the charity.  This Job Description is non-contractual. It will be reviewed from time to time and may be subject to change.

Person Specification:

Skills:  

  • Highly organised, able to plan proactively and prioritise work.

  • Good oral and written communication skills.

  • Good interpersonal skills: able to establish and maintain excellent working relationships with internal and external stakeholders.

  • Proven ability to keep up to date with technology and take individual responsibility for learning new technologies.

  • Understanding of co-production.

  • Understanding of safeguarding.

Knowledge:   

  • Some knowledge in planning and strategy would be ideal but is not essential.

  • An understanding of Equity, Diversity, Inclusion and Belonging and how it applies to the work of Turn2us.

 Experience:

  • Experience of diary management.

  • Ability to communicate clearly (written and verbally) writing clearly and accurately, including drafting routine correspondence, and taking minutes of meetings.
