Job Description

Overall Purpose of the Role

You will provide a high level of support to the Core team at BSC, delivering quality and effective administrative and co-ordination of activities. These will include recruitment, inductions, general admin support for the HR and Finance function and working alongside the Legal team to provide financial services regulatory and compliance support.

This is a highly varied, fast paced role that is key to ensuring our Core team’s administration processes are efficient, consistent and fit for purpose. It will involve interaction with a wide range of stakeholders across BSC and plays a vital role in ensuring we provide our client groups with a professional, timely and effective service.

Key Responsibilities

HR Administrative and Team support

  • Create and maintain accurate and efficient administrative processes within the team

  • Be responsible for recruitment administration from advertising trough to offer stage; liaise with candidates, agencies and stakeholder groups, work alongside the HR Officer to produce job descriptions and plan recruitment processes

  • Manage HR diaries and stakeholder availability to plan interviews and inductions for new joiners

  • Organise HR Induction and team onboarding for new starters, working with the HR Officer and stakeholder groups

  • Maintain the BSC careers page, ensuring it is up to date and jobs are advertised in a timely manner

  • Respond to and manage our recruitment and general HR mailbox, forwarding enquiries where necessary and working with the HR Officer to effectively manage these enquiries

  • Work closely with the HR Officer and HRBP to ensure policies and procedures are up to date and available to employees

  • Plan exit interview for leavers and probation confirmation meetings for the HR team

  • Administration of our HR system and our development and goal tracking system (7 Geese). Answering any related queries from employees

  • Working with our HR and Recruitment systems to input and track applicant and employee and information and data, ensuring information is compliant, accurate and up to date

  • Organise and schedule meetings and appointments with internal and external stakeholders; co-ordinating diaries within and outside the team, providing supporting information and documents in a timely manner and where necessary taking meeting minutes

Legal & Compliance Support

  • Provide Head of Legal with administrative support; booking training in staff diaries, distributing training attendance certificates, preparing sign-in sheets for training, printing and binding materials, formatting PowerPoint presentations, organising meetings

  • Complete monthly close links returns to the FCA

  • Carry out administrative tasks to support the compliance function including preparing for monthly compliance monitoring, maintaining data logs and on-boarding clients

  • Support HR Officer, HRBP and Head of Legal on HR related compliance matters; including standardised job descriptions, introduction of the FCA Senior Managers and Certification regime

  • During periods of absence of the Investment Team Administrator obtain, complete, validate and maintain all regulatory KYC information for all investments in BSC’s portfolio in accordance with BSC’s AML guidelines and in compliance with UK financial regulations Other administrative support

  • Work closely with the wider team of administrators across BSC, sharing best practice and providing support and cover when needed

  • Meeting organisation and diary management for team members, including capturing of meeting notes and the preparation of PowerPoint slides

  • Responsibility for entering supplier invoices onto BSC’s accounting system working closely with Management Accountant Personal specification

Experience (essential)

  • A strong background in PA or Admin support roles

  • Some experience of financial services regulatory compliance administration

  • Some experience of HR administration either as part of a Compliance team, HR team or an Operations team

  • Experience of working in a varied role with conflicting workload and priorities

  • Experience in the use of IT systems to manage and improve administration processes

  • Experience of using IT systems to improve processes and make administration more effective

Experience (desirable)

  • A background in the charitable or social sector or an interest in the work of impact investment, not for profit or charitable sectors
