Job Description

At The Atmospheric Fund (TAF), the Accounting Clerk is responsible for processing day-to-day accounts receivable and payable transactions, contributing to the related reconciliations, and assisting the Finance team in the preparation of key financial statements such as expense reports, budget updates and for our annual audit.

This is a full-time, two year contract position reporting to the Director of Finance. TAF is a hybrid workplace, and staff work an average of two days a week in our downtown Toronto office (and the balance of the week remote-working), although alternative arrangements can be discussed.

Responsibilities

  • Provide clerical assistance for TAF’s Finance team, including filing, data entry, responding to email and telephone inquiries, and processing incoming mail.

  • Handle communications with clients and vendors ensuring understanding and resolving queries with speed and professionalism.

  • Accounts Receivable: Manage all AR (including loan repayments, billings, external funding, etc.), undertake ageing analysis, and provide regular reporting.

  • Accounts Payable: Manage all AP including invoice approvals, coding, credit card reconciliations, EFT/ wire preparation and web posting), and other banking (deposits, posting fees, preparing EFTs), providing regular payables tracking and reports.

  • Invoicing: Prepare invoices for billable services, track payments, provide updates and pursue and reconcile overdue payment.

  • Project-level budgets and reports: Support the Director of Finance and team leads in developing budgets for operational projects, tracking and reviewing results, and developing status reports for internal and external analysis and reporting requirements.

  • Work in compliance with TAF internal controls and policies and use electronic accounting requisition system (Microsoft Dynamics).

  • Continuous improvement: Review and assess current practices or procedures and work with the Director of Finance to recommend and implement refinements.

  • Assist in audit documentation collection and any related analysis for annual external audit.

  • Participate actively as a TAF team member at staff meetings, retreats and through other staff working groups.

Qualifications and Characteristics we are looking for:

 Required

  • Post-secondary education in Finance, Accounting or Business Administration, or at least two years of experience as an accounts receivable/payable clerk or accountant.

  • Demonstrated high performance with bookkeeping and basic accounting procedures.

  • Well-organized with excellent accuracy and attention to detail.

  • Aptitude for analyzing financial information to identify trends, challenges and opportunities, and preparing reports and memos to convey these.

  • Ability to prioritize workload and occasionally work under pressure to ensure cyclical deadlines are met.

  • Excellent written and verbal interpersonal communication skills.

  • Comfortable working independently on key tasks as well as within a team on projects and/or processes.

  • Good working knowledge of Microsoft Office applications, databases and accounting software.

  • Aptitude and interest for learning new concepts and processes.

Preferred

  • Experience with MS Dynamics Business Central.

  • Experience preparing and/or providing external auditors with documentation.

  • Familiarity with Canadian accounting standards.
