Challenge Events Junior Project Manager - Fixed Term Contract until 31st of March 2021

As Challenge Events Junior Project Manager, you’ll be responsible for supporting the Challenge Events Manager and Challenge Events Project Manager in the delivery of high-profile fundraising challenges as part of the Red Nose Day 2021 campaigns. You will assist with the coordination of internal project team activity and the coordination of all aspects of challenges, both during the planning phase and throughout the delivery of the live event on the ground. Depending on the scale of the final portfolio, there may be an opportunity to lead the delivery of one of the live Challenge Event projects.

Key responsibilities:

• Support the Challenge Events Manager and Challenge Events Project Manager in the management of teams of internal and external stakeholders and suppliers to ensure all aspects of the challenge(s) are delivered effectively and against objectives

• Monitoring of progress against project plans, evaluating and updating plans as required to ensure they are adapting to changing circumstances

• Producing regular reports on the progress of our challenge events

• Recording and producing minutes and action lists from key challenge meetings

• Support the identification and management of project risks, issues, and dependencies

• Management of kit procurement processes for all Challenge Events, including working with the Challenge Events Manager and Challenge Events Project Manager to establish requirements, develop and maintain relationships with suppliers and maximise opportunities to secure goods on a value in kind basis

• Managing the sizing and ordering of kit for talent, staff and crew across all challenges, including coordinating fittings, developing processes for managing and allocating kit, distributing, packing and returning kit prior to, during and after the challenge

• Coordinate administrative aspects of Challenge Event delivery, such as booking travel and accommodation, processing visa/permit applications, creating kit lists, updating daily schedules and plans, and producing team briefing documentation

• Work closely with external delivery partners to ensure safe and successful development and delivery - this could include working with external media broadcast outlets or television production companies

• Work with internal and external stakeholders to assist with the development of live event plans, logistics, operations plans, risk assessments, live content requirements, communications plans and content delivery (e.g. logistics of film crews, photographers)

• Processing and tracking invoices and ensuring all financial processes and procedures are followed

• Tracking spend and providing regular budget updates to the Challenge Events Manager and Challenge Events Project Manager

• Support the development of health & safety, risk management and crisis management plans across challenges

• Coordinate the branding of the challenge and kit with input and approval from BBC Editorial Policy, Marketing, Creative & Corporate & delivery partner

• Responsibility for certain aspects of live event delivery of the live event, a directed by the Challenge Events Manager and Challenge Events Project Manager

• Monitor, share and evaluate delivery, capture lessons learned and make recommendations for future improvements

Essential Education and Competencies:

• Demonstrable experience of the coordination and/or management of high-profile projects and events involving multiple stakeholders and partners in high pressure environments

• Strong organisational and time management skills – planning, managing, monitoring and prioritising

• Excellent administration skills

• Skilled user of Microsoft applications including Word, Excel, Powerpoint and Outlook

• Collaborative worker who is able to work closely with all teams and communicate effectively

• Effective relationship builder with great communication skills

• Ability to use initiative and remain calm under pressure

• Resilient and calm under pressure with the ability to stay the course during the height of delivery
