Job Description

Salary range: 25K per annum

Contract: Permanent

Reports to: Office Manager

Hours: Full time (40 hours per week including one hour lunch break each day)

Start date: January 2023 (or as soon as possible)

Location: Home-based (travel costs paid for meetings)

Annual leave: 27 days FTE per annum plus Bank Holidays, (22 days FTE per annum for the **4 day week trial period)

Closing date: Friday 9th December


Waterwise is an independent, not-for-profit campaigning NGO focused on reducing water consumption in the UK. We are the leading authority on water efficiency in the UK, and the UK’s conscience on water efficiency. Water scarcity is an urgent issue right here, right now, right across the UK - we only have to look at the record temperatures this summer and the current drought across the UK to see how climate change and population growth are already putting our water resources under severe pressure, and this challenge is growing. Water efficiency has to be a big part of the solution, and we support and challenge governments, industry, customers and others to be innovative and ambitious on water efficiency. Our work includes stakeholder engagement, research, events, policy and regulatory influencing, campaigns, media, events and services such as Waterwise Training and the Waterwise Checkmark. We are funded by supporters across and beyond the UK water sector. Our Waterwise Strategic Direction to 2030, published in August 2022, tells you a bit more about us.

Team Assistant Role -
We need someone who is proactive and a self-starter with excellent administration and organisation skills. The role involves assisting our Managing Director, Office Manager and the wider team with admin, business and research support. 

This is an exciting new role for us, designed to free up time for staff to focus on income-generating activities so that we can have an even greater impact on water efficiency in the UK. You’ll be right at the heart of Waterwise, getting involved in all our work! 

Essential Knowledge, Skills and Behaviours

●       Excellent organisation and administrative skills

●       Advanced computer literacy, especially with respect to Microsoft Excel, Word and PowerPoint

●       Excellent attention to detail

●       Excellent interpersonal, oral and written skills and ability to maintain great working relationships with a wide variety of people

●       Analytical skills with the ability to accurately record and extract data

●       Self-motivation and the ability to work flexibly within a small team, such that you will proactively seek out work and where you can help others

●       Ability to manage own time and prioritise tasks

●       An ability to identify inefficiencies and implement process improvements by making good use of IT

Team Assistant Role Description

Key responsibilities include:

●       Supporting the Office Manager by:

○       Answering phones

○       Monitoring emails via infobox and dealing with these appropriately

○       Booking meeting rooms

○       Booking trains

○       Diary management

○       Setting up team meeting minutes and other shared documents

○       General administration

○       Mail Merges

●       Supporting the Managing Director by:

○       Assisting the smooth running of our governance and reporting processes through logistics and organisation, for example organising meetings, keeping track of timeframes for Board meetings and commissioning contributions for

○       papers, updating the strategic annual Board agenda and using this to draft Board agendas, sending papers out to Board members, updating papers with changes after Board meetings

○       Diary management and train bookings

○       General administration

●       Supporting the team by:

○       Drafting slides, drawing on existing internal material

○       Setting up the logistics for Waterwise Training sessions, assisting on the admin and assessment of Waterwise Checkmark applications

○       Project-related admin tasks such as setting up meetings, tracking time spent

○       Sending out communications to Waterwise Supporters by email

○       Supporting logistics for the UK Water Efficiency Strategy Steering Group which meets quarterly, and the Task and Finish Groups which sit beneath it

○       Producing templates for consultation responses for the team to add to

○       Confirming/checking/recording sources for water efficiency facts and tips used on our website and in our campaigns

○       Assistance linked to running events such as the annual Waterwise conference

○       Supportive admin for our three internal Champions – Equity, Diversity and Inclusion; Sustainability; and Wellbeing

○       Stakeholder contact database management

○       Media contact database management 

○       Reviewing and proof-reading reports and documents

The above is not an exhaustive list of activities but hopefully gives you a sense of the role and requirements.  As it’s a new role, we expect the tasks will evolve and develop over time.

**Four Day Week trial

Waterwise is currently in a 12 month trial of the 4 Day Week, ending on 31st May 2023 - so the office is closed on Fridays. You can find out more about the 4 Day Week here - it's full-time pay for 4 days work (at 9am to 5pm) rather than 5 days’ work. If your application is successful, you would join the team on this basis, on a full-time contract with a voluntary agreement to work a 4 Day Week during the trial, and if Waterwise moves to a 4 Day week permanently. Or revert to full time (5 days) if the trial is not made permanent.
