Job Description

The Business Optimization Specialist (BOS) ensures every CACTX team member has the information technology and office resources required to achieve their full potential. The BOS serves as the organization’s operational support go to, working across teams and functions to ensure day-to-day operations run smoothly and provide the support needed to maximize our individual and collective efforts to eradicate child sexual abuse. The BOS does this by ensuring the office runs efficiently and employees have what they need to be successful in terms of supplies, a clean and safe work environment and high functioning technology and tools.

Essential Job Functions:

Office Management (35%) • Welcome staff and visitors, escorting visitors to meetings.

• Receive and distribute mail and packages.

• Manages the inventory and procurement of kitchen and office supplies.

• Meets and coordinates with maintenance and onsite vendors, providing access to the facilities.

• Oversight of office operations and procedures, creating efficiencies.

• Develops and manages the office management budget and works with accounting to provide monthly projections and reconcile expenses.

• Primary point of contact for facilities related requests. Acts as liaison between property management company, contractors, building management, vendors, and leadership. Uses independent judgement to resolve facilities concerns and escalates to property management company when appropriate. Team Member Support Services (35%)

• Utilizing CACTX travel policies, coordinate travel needs from across the organization. This includes but is not limited to airline, rental car, and hotel.

• Support event coordination on an as needed basis for various teams throughout the organization.

• Coordinate and support large scale mailings through the management of on-premises publishing grade printer and postage machine.

• Provides catering support for internal and external meetings on as needed basis.

• Assists accounts payable and receivable, including simple bookkeeping and banking tasks.

• Schedule department meetings, including Business Optimization and project meetings. May develop or distribute agendas, take meeting notes, track action items, and help ensure action item completion.

• Serves as the primary point of contact for incoming requests to the Business Optimization department and escalates requests to the appropriate staff as needed. Children’s Advocacy Centers™ of Texas, Inc.

IT Coordination (30%)

• Point of contact for all hardware and software solutions, including front-line troubleshooting of basic desktop, hardware, and software issues and referring staff to helpdesk support for complex problem resolution.

• Champions software applications by helping educate, answering questions, finding efficiencies, and sharing resources to ensure a positive technology experience for staff.

• Supports Business Optimization Manger (BOM) by compiling usage data, identifying trends with both positive and negative use cases, and gathering requirements.

• Assists the BOM with maintaining a repository of training resources for new and tenured staff.

• Manage a portfolio of vendors providing IT support for non-basic, complex hardware or software issues, and software upgrades.

• Provide meeting support (proactive and troubleshooting) for large scale meetings and trainings where video conferencing technology support is required. Ensure teams have the training and technology resources needed to conduct meetings effectively and efficiently in a hybrid work environment.

• Staff onboard/offboarding and training related to IT. • Support the BOM on IT/infrastructure projects and initiatives.

Minimum Educational/Professional Requirements:

Education and experience: Prefer a bachelor’s degree from a recognized college or university. Each additional year of approved formal education may be substituted for one year of required work experience. One to two years of internship or professional experience related to IT coordination, software administration, or non-profit operations.

Skills: Intermediate knowledge of hardware and software desktop support. Business acumen and basic understanding of budgeting and financial management. Skilled in process management, prioritization, and project coordination. Aptitude for providing one-on-one training. Ability to demonstrate problem-solving skills and critical thinking. Excellent customer service skills. Excellent communicator with detail and organizational orientation. Desirable

Work Location: Must have reliable transportation and the ability to work onsite at the corporate office in Austin, TX.
