About the position:


This is a unique opportunity to be part of building and managing two growing businesses in a dynamic and impactful industry.      The Executive Assistant will play a key role on the team through providing administrative and coordination support for senior management teams at Tideline and BlueMark, with roughly an equal split of time between the two businesses. This role will act as a gatekeeper for the senior team and as a critical facilitator of communication and coordination between the senior team, the team more broadly, and with external parties. Beyond the administrative work, there is an opportunity to contribute to the team culture, team events, and social activities, according to interests.


The primary responsibilities include:


Scheduling and administration (85%):

  • Managing calendars for Tideline and BlueMark’s senior management team members, including scheduling internal and external meetings (note: the senior management team is currently six people, with some varying degrees of need for support)

  • Support travel arrangements for senior management team, as needed

  • Provide additional administrative support to senior management team, as needed

  • Support planning and coordination for team retreats and other convenings, in collaboration with other team members and often with the support of an event planner for larger events


Other coordination (15%):

  • Support the management of Tideline and BlueMark contact databases across email marketing platform and CRM

  • Assist with scheduling for recruiting efforts

  • Provide coordination support for board relations and investor relations workstreams

  • Participate in internal working groups as desired, such as our DEI Working Group and Social Committee



Qualifications:

The ideal candidate has a collaborative disposition; appreciates thoughtful and efficiently managed processes; is exceptionally well-organized with an eye for detail; communicates well; is comfortable with a high-level of urgency and discretion; is a self-starter; and has a commitment to advancing social and environmental outcomes. Desired qualifications include:

  • 3+ years of experience as an Executive Assistant or in an administrative support role, with a preference for candidates that aspire to a career as an outstanding EA; early-career and mid-career professionals are encouraged to apply

  • A desire to be part of a close-knit team committed to solutions addressing the challenges we face in society and our environment

  • Ability to manage multiple tasks, sometimes urgent, with high attention to detail and organization

  • Excellent and friendly written and verbal communication skills

  • Experience in a small business and/or in a professional services firm a plus

  • Experience with Microsoft Office and G Suite

  • Self-starter with demonstrated ability to exercise sound judgment and discretion

  • Strong interpersonal and relationship-building skills

  • We embrace team members’ flexibility to work remotely. For cities that have more than 4 employees, we encourage the team to meet at least once a week, but it is not required.

  • What will the hiring process look like?

  • Looking for a new job can be a daunting experience. Our approach is based in empathy and a desire for candidates to have a good experience. We want to give everyone an opportunity to display their strengths through their answers to our questions.

  • Hiring Process: Our timeline from application close date to decision typically takes ~4-5 weeks. Below are the steps week by week (please note that the holidays may delay this timeline slightly):

  • Week 1-2 - Applications are blind-reviewed after the application close date: Our process is designed to remove bias by having your application answers randomly assigned to our team for review. Two team members score the responses based on a set of guidelines. The candidates with the highest average scores get invited to the interview round. We do not look at resumes and we do not know whose answers we are scoring. We embrace a diversity of working styles and backgrounds and believe that limiting applications to resumes fails to capture the full potential of an individual.

  • Week 2-3 - Behavioral Interview - The first interview is a 45-minute structured interview with non-senior team members.

  • Week 3-4 Case Exercise - This is a timed take-home exercise.

  • Week 4-5 - Senior Management Interview: The candidates with the highest average scores from the first round interview are invited to a second structured interview with Senior Management.
