The Growth team is a small but impactful team that works hand-in-hand with BIT’s wider policy teams, supporting their bidding and business development efforts.  We provide skills and expertise that help BIT get to work on the projects that really matter to us. We’re looking for an organised and driven Bid Coordinator to join the team and play a crucial role ensuring we continue to deliver value across all areas of the organisation. 

What does the Bid Coordinator do?

Situated in our Growth team, the successful candidate will play a pivotal part in ensuring BIT’s company wide bidding efforts are coordinated, supported and successful. You will report to the Senior Growth Manager and work closely with staff across our businesses and your work will sit across two main areas, bidding support and business development. The main objectives your work will focus on will include:

Bidding tasks

  • Reporting on latest bidding insights using PowerBI dashboard into monthly packs to disseminate to the wider team

  • Owning the guidance and up-dates to training materials for PowerBI dashboards

  • Tracking progress of bids throughout their life cycle. From the early stages in our pipeline, project set up and contracting, through to capturing feedback & lessons learnt from the bid process once completed;

  • Owning various aspects of the competitive bidding process such as responding to Pre-Qualification Questionnaires and completing tender documents;

  • Keeping the policy teams informed of relevant opportunities via our internal communication platform (Slack) and setting up bid channels and project folders when appropriate;

  • Ensuring the policy teams are kept up to date with correspondence from procurement portals or potential partners;

  • Reviewing bids, writing case studies and helping to organise our bid library content;

  • Keeping portals up to date and registering for new portals where necessary; and

  • Organising post-bid washup sessions with the relevant stakeholders.

  • Contributing to process changes and improvements and training those across the company

Research & business development tasks

  • Researching companies that BIT could partner with (e.g. market research agencies, graphic designers, user experience agencies) - identifying pros and cons of different partners;

  • Researching potential funders of BIT research and identifying areas of overlap; 

  • identifying strengths and weaknesses of competitors; and

  • Collaboration on outbound business development sprints, such as conducting market analysis and running lead generation exercises.

What makes a great Bid Coordinator at BIT?

  • Commercial Experience and Drive. You have some public or 3rd sector commercial experience and you may be familiar with public sector bidding and procurement processes;

  • Managing and developing yourself at work. You demonstrate high self-awareness and regularly self-reflect. You are able to manage your own workload and prioritise competing requests. You are resilient and accept responsibility for decisions whether they achieve the desired outcome or not; 

  • Clear and convincing communications. You can keep on top of an active email inbox, multiple instant messages and a busy meeting schedule. When communicating with junior and senior colleagues you are always friendly, professional and firm when you need to be. You have strong written communication skills and are able to structure and articulate arguments for maximum persuasiveness;

  • Detail oriented. You’re organised and passionate about getting the details right. You don’t get too bogged down in administrative tasks, which allows you to spend more time on the things you find interesting;

  • Organisation and managing logistics. You have excellent organisation and decision making skills that give your colleagues the highest level of reassurance you are managing all aspects of the work in a timely manner and at the highest quality. You strive to never miss tender deadlines or submit a bid with missing documents or materials; 

  • Passionate about public service. You don’t need to have a background in public service or knowledge of a particular policy area. But to be a great project coordinator you should care deeply about our work improving people’s lives and communities; and

  • Using tools and resources. You have great IT skills, including G-Suite and MS Office.

How to apply

We use a platform called Applied to reduce bias in the recruitment process. You will need to answer a few work-based questions which will be anonymously marked by members of our team. Our selection is based on performance in these questions, rather than looking at your CV. 

Candidates with the top scoring answers will be invited to a structured interview where you get to meet some of the team. At the interview stage you will be asked questions that reflect the role and also to complete a work-based task, so you have the chance to demonstrate your skills. It’s at this stage we first see your CV. We always give all applicants feedback, no matter what stage your application reaches.
