Tideline and BlueMark are sister companies that are each seeking a part-time executive support and operations coordinator to join our vibrant, purpose-driven teams. These roles are intended to be 15-30 hours/week, with the exact number of hours to be agreed upon during the hiring process or with the successful candidate.

There may be a full-time option available for the right candidate.

About the positions

Tideline and BlueMark are each looking to add adaptable, ultra-organized, and action-oriented mid-career professionals to their team to take on executive support and operations functions. In either of these roles, you’ll help things run smoothly on our team by managing calendars for our senior team, planning travel and events, administering technology platforms, supporting HR, and generally becoming our team’s go-to for operational and administrative support.

The primary responsibilities include:

Executive Support. You’ll manage a packed calendar for our executive teams, booking meetings, travel, and events, and proactively identifying and solving scheduling conflicts. 

  • Managing calendars for senior team, including scheduling internal and external meetings

  • Support travel arrangements for executive/ senior management team, as needed

  • Provide additional administrative support to senior management team, as needed

  • Support scheduling and arrangements for investor and board meetings, and provide occasional scheduling support for board members as appropriate

Travel and Events. You’ll plan an annual offsite retreat and may also support travel or event planning for domestic and international conferences, team meetings, social events, and offsites.

  • Support planning and coordination for team retreats and other convenings, in collaboration with other team members.

  • Support the marketing team with event planning as needed and as available.

  • Plan team lunches and social events on a regular basis.

Team Administrative and Facilities Support. You’ll meet key admin needs for the broader teams and, if based in or near NYC, will act as an office manager for our WeWork office.

  • Maintain company-wide calendar and email lists

  • Ensure that our NYC office has necessary supplies and equipment; be the office liaison for visitors from out of town as needed

  • Manage birthday gifts and other gift-giving or care package needs

Team Operations and Administrative Support. You’ll provide HR, operations, and general administrative support to the team in collaboration with our shared operations team.

  • Maintain company-wide calendar and email lists

  • Administer technology platforms (no specialized tech knowledge needed), for example by granting access to new team members

  • Project manage onboarding and offboarding by setting up templates, updating them regularly, and following up with team members to ensure that on- and off-boarding processes run smoothly.

  • Support recruitment by posting job descriptions and helping coordinate interviews and the overall hiring process.

  • Additional HR and operations support may be added to the role depending on the skillset of the successful candidate and the needs of the business over time.

Miscellaneous Other. Tideline and BlueMark are small businesses with plans to grow, and so things change all the time and we’re continually looking for ways to get more efficient and utilize each team member’s skills well. We hope to work with the successful candidate to identify additional areas where they can contribute to making the team’s work run more smoothly.

Qualifications:

The ideal candidate has a collaborative disposition and high level of professional discretion and judgment; appreciates thoughtful and efficiently managed processes; is exceptionally well-organized with an eye for detail; communicates well; is comfortable with a high level of urgency and ambiguity at times; is a self-starter; and has values aligned to Tideline and BlueMark’s missions.

Desired qualifications include:

  • Minimum of 3-5 years of work experience, but candidates with significantly more experience are encouraged to apply

  • Some background/experience in executive support, administration, project management, and/or event planning

  • Extremely self-motivated and comfortable executing without close supervision

  • Ability to manage multiple tasks, sometimes urgent, with high attention to detail and organization and without dropping anything

  • Open to working flexible hours at times to accommodate multiple time zones as needed

  • Strong written and verbal communication skills

  • Experience with Microsoft Office and Google Suite

  • Sense of humor and self-awareness

  • Experience in a small businesses and/or in a professional services firm a plus

  • Must be eligible to work in the US indefinitely without visa sponsorship
