Job Description
ROLE
The Operations Coordinator is a generalist role that supports the Luminate Strategic Initiative (LSI) team’s Operations Director in the day-to-day operations management of the business. A significant part of the role involves liaising between internal functional and programmatic teams, external partner organisations, consultants and other ecosystem stakeholders in grant-making and contracting with a typical focus on the legal and finance aspects.

TEAM
The Luminate Strategic Initiatives (LSI) team’s work focuses on strengthening the integrity of digital media markets that shape the public sphere, popular opinion formation, and voting behaviour.
The LSI Operations team acts as a link between LSI’s Program teams and Luminate’s central Finance and Operations team and coordinates all operational aspects of LSI’s work to ensure the Program teams are positioned for success. This position reports to the Operations Director, LSI and can be based in either London, UK or Nairobi, Kenya.
RESPONSIBILITIES
Grants and Contract Management: Work closely with colleagues and partners to ensure timely and efficient preparation, recording and submission of funding and contract requests.
Gather and organise required documentation
Support the preparation of grant agreements and contracts
Liaise with the central finance team on payment processes, primarily with routine data entry and resolving payment issues
Work with colleagues to streamline grantee reporting process including receiving and reviewing grant reports and pulling out relevant highlights
Work with the operations and funding operations team to implement and stress-test process improvements and update the team on process changes as appropriate
Grantee Support: Serve the network of LSI’s grantees and contractors as a responsive liaison.
Proactively communicate with grantees and contractors about their grant awards and contracts
Act in a “help desk” capacity to support the funding and contracting process.
Administration: Support a rewarding, efficient and high performing “virtual office” so that every member of the team can be effective.
Act in a “help-desk” capacity to staff to support overall operational discipline
Provide scheduling and logistical support for offsites and as otherwise needed
Take notes in meetings and actively follows up on key action points
EXPERIENCE AND SKILLS

Essential
Postsecondary training and/or experience in multiple areas of business including the legal, finance and administrative functions
Ability to manage and prioritize multiple projects and simultaneous deadlines while building rapport cross-functionally
Ability to balance attention to detail with swift execution – we need to do things quickly and we need to do them well
Self-starter, highly organised and able to work independently
Brilliant communication and cultural sensitivity
Desired
Degree in commerce, law, business administration or related subjects is preferred but not essential
Experience working in the non-profit sector
Salesforce and/or Netsuite experience
French language proficiency
