Foxglove is looking for an experienced Executive Assistant to support our three directors with the effective running of Foxglove. The post-holder will provide our directors with full diary and travel management, provide some team support and assist with ad-hoc project-based work. 

About you

You are a highly organised and experienced Executive Assistant with the ability to manage your own time effectively and that of our directors confidently. You are used to juggling multiple responsibilities and priorities in a challenging environment. You have experience working in small but growing, busy organisations. You have exceptional attention to detail.

The role

You will be responsible for supporting our three directors to ensure efficient and effective management of their time and of the organisation.

Responsibilities include:

  • Providing high standards of administrative support to the directors

  • Responsible for all aspects of arranging travel and accommodation including coordinating visas, booking flights, hotel accommodation, car transfers and taxis, producing travel packs and itineraries as required

  • Diary administration as required including organising internal and external meetings and managing any logistics

  • Handling all aspects of expense processing for directors

  • Producing, designing, formatting and collating documents in Word, Excel and first drafts in PowerPoint

  • Producing correspondence such as emails and letters as required in a professional and efficient manner

  • Some office management tasks for our small London office

  • Answering and directing telephone calls and emails

  • Coordinating schedules, creating agendas, chairing/attending meetings, recording minutes and actions and following up on those actions

  • Involvement in routine administrative HR duties

  • Support the team with IT or other administrative queries

  • Support ad-hoc project-based work and research

Requirements and skills

  • Exceptional organisational and diary management skills

  • High levels of flexibility and adaptability

  • Flawless communication and presentation skills, both written and verbal

  • The ability to manage competing tasks and prioritise an ever-changing workload

  • The ability to work under pressure and reach deadlines

  • Problem-solving and decision-making skills

  • The ability to work autonomously

  • The ability to determine which emails, reports, telephone calls require immediate attention from the directors, and which do not

  • The ability to build relationships at all levels across the organisation and with external contacts

  • Experience using the full Microsoft Office suite

Length and salary

We are open to this role being either a virtual, consultancy role or a part time staff position. The renumeration for this role is £44,880 (pro-rata) per annum less any required deductions for income tax and national insurance (for staff). Please note that our pay is transparent and non-negotiable. This role is between 16 – 20 hours per week. Ideally those hours are spread across the week. This position is remote but occasional travel for meetings may be required.
