Job Description

Summary

We are the public body that looks after England’s historic environment. We champion historic places, helping people understand, value and care for them.

Historic England have a fantastic opportunity for you to join us as a Personal Assistant, reporting to the Director of Regions’ Executive Assistant.

In this role you will provide administrative and diary support to the office of the Director of Regions and to the Regions Central Leadership Team (the Development Advice Director, the Listing and Architectural Research Director, and the Head of Partnerships). 

The location of this role is National where we offer hybrid working, you will be based in one of our following offices and from home - Newcastle, York, Manchester, Birmingham, Swindon, Bristol, Portsmouth and Cambridge. 

Salary

National: £22,464 pro-rata

Greater London+: £23,896 pro-rata

What you will be doing

Diary management and forward planning for the Director of Regions (job share) to ensure that meetings, tours and visits are scheduled and organised effectively and efficiently.

Coordinating office facilities, document templates, room bookings, meeting papers, catering, business travel and accommodation arrangements as required (whether in the UK or abroad).

Processing Visa and cash expenses using the ExpenseMePro online system and keeping a record of hospitality given and received.

Covering Director of Regions’ office management when required.

Close liaison with other assistants in the organisation, along with building knowledge of, and key relationships within Regions Group, the wider organisation and external stakeholders.  

Undertaking any other reasonable duties which contribute to the efficient running of the office, including occasional travel to the six regions.

For Regions Central Leadership Team:

Booking travel and accommodation.

Processing expenses and hospitality records.

Preparing papers, e.g. slide deck templates, briefing templates, PDF documents, etc.

Assisting with occasional diary requests. 

Assisting with incoming enquiries where appropriate.  

Assisting with additional projects where appropriate.

Who we are looking for

  • A high standard of accuracy and attention to detail.

  • Diary management experience

  • Experience of using Microsoft office and administrative systems

  • Proven secretarial, administrative and office organisation experience

  • Ability to juggle conflicting demands under pressure

  • Able to build and maintain effective working relationships with a wide range of people.
