Job Description

The Drive Central Delivery Team is responsible for overseeing delivery of the Drive Partnership programme plan.  The Drive Project Director has overall responsibility for the Drive Central Team which comprises five distinct sub-teams made up of staff from across all three Drive Partnership organisations of Respect, SafeLives and Social Finance. These teams are: the Director’s office, Project Management Office, the Practice Team, the National Systems Change team and REA team (Research, Evaluation & Analysis).  Each team has a Head of Team and several staff. 

The Drive Partnership Administrator role will provide administrative support to all of the Drive Partnership teams during a busy period of delivery.   This will involve working closely with the teams to coordinate their activities.  

Responsibilities

  • Ensure that meetings (whether face to face or virtual) have the logistical support that is needed including organising equipment and/or tech required (spider phones, projectors, video conferencing facilities etc).

  • Create and send out agendas and papers for meetings, take minutes/actions and track action points

  • Assist in planning and arranging workshops, training and other external meetings, including booking venues and catering, liaising with speakers and organising logistics (in advance and on the day).

  • Formatting and proofing of supporting materials for workshops, training and other project documentation, arranging the printing and delivery of those materials to specified deadlines.

  • Maintain online document filing systems ensuring that documents are clearly organised and easy to find

  • Create and securely store contact details

  • Ensure that any information shared whilst performing these duties is in line with SafeLives data storage and collection protocols

  • To engage in a constructive and effective way with all survivors of abuse, through Pioneer interaction, Authentic Panel, colleagues and any other interaction we have in our day to day work

  • Any other duties, commensurate with the level of the role as requested by the line manager or other appropriate person

Person Specification

Essential:

  • Experience of providing excellent administrative support whilst coping with conflicting priorities

  • Able to integrate and work well as part of different teams

  • Experience of minuting and facilitating meetings as well as of creating and maintaining actions logs and following up on actions to completion

  • Experience organising internal & external meetings and events

  • Strong attention to detail

  • Excellent time management and organisational skills

  • Excellent MS Office skills

  • Experience of managing shared documents and tools

  • An ability to use virtual meeting technology

  • Excellent organisational skills and the ability to coordinate and communicate effectively within a project team and with external stakeholders

Desirable:

  • Knowledge and understanding of contracting and grant agreements alongside partnership / multi site working

  • Experience of working in (or with) the voluntary sector, local government and/or statutory agencies
