The Role

We are looking for an Executive Assistant, who is interested in working in an exciting and dynamic startup environment, to support our founding team. The successful candidate will provide assistance to PUBLIC’s Founders and, on occasion, other members of the management team.

Their main duties will include diary management, but there will be the opportunity to get involved in other areas of the company. To be successful in this role, the candidate should be proactive and organised, meet deadlines, and communicate effectively. Ultimately, they will play a key role in ensuring the smooth administration of the founders’ schedules and the company’s business.

Key responsibilities:

  • Coordinate daily calendars for the Founders, ensuring their schedules are well-planned, manageable and clear.

  • Plan, organise and schedule appointments and meetings, taking into consideration business priorities.

  • Book business travel arrangements, including flights, transportation, and lodgings for the Founders and other members of management team

  • Organise and coordinate public appearances including conferences, media appearances or public events.

  • Help to organise and run events, as required, including making room bookings and managing invitations.

  • Complete front of house duties as required, such as answering phones, taking mail and picking up guests.

  • Liaise with senior figures in government and business on behalf of the founders.

  • Create regular reports and update internal databases

  • Facilitate internal communications, including sharing information across the team, scheduling presentations, setting up weekly team meetings and monthly all-staff meetups.

  • Help the founders with any queries or issues they may have.

  • Suggest more efficient ways to run the office and troubleshoot when things go wrong.

  • Take ownership of tasks as required, and spot opportunities to make the company more efficient.

Person Specification


The successful candidate will be extremely organised, and will have excellent attention to detail. You will have good written and verbal communication skills, and will be confident and diplomatic dealing with senior people both inside and outside the company. You will be excited by the challenge of working for a startup, and will thrive in a fast-paced environment where you will be expected to juggle a number of tasks and prioritise effectively.


Knowledge of government would be helpful but is not essential. Most importantly, you will have a real interest in improving public services and the potential for technology to transform citizens lives for the better.
