Job Description

Role

We are looking for an experienced Operations Manager to increase our capacity to design and drive strategy for how ACCR organises and uses our knowledge systems and tools.  You will ensure our internal knowledge is organised effectively and oversee optimal staff usage of our systems and tools for data management, in a complementary role to our IT Manager and other Operations staff. This new position will also enhance the induction experience and ongoing learning of staff in collaboration with Team Leads, and work with the Chief Operations Officer to keep current the documentation of policies and procedures and increase the ease of staff knowing and following them. With ACCR operating largely as a virtual team, the role will play an important role in ensuring effective working relationships between staff across geographies, with seamless workflows and ready access to relevant information, all the while sustaining the values that make ACCR unique.

Responsibilities

The role will include the following types of tasks:

  • Leading the effective use of ACCR systems (particularly document management, CRM, project management) and enabling staff to maximise their potential.

  • Overseeing the data quality of our knowledge systems to ensure information is accurate, complete, consistent and up to date. Facilitating the organisation and currency of knowledge.

  • Managing the process for onboarding staff, including coordinating the roles of other staff and coaching new staff to use ACCR’s tools and systems effectively, providing ongoing training and coaching of existing staff on tools, systems and implementation of policies.

  • Working with other staff to document procedures, updating policies. 

  • Possibly managing a staff member.

  • Generally improving operational management systems, processes and practices. 

Criteria

We’re looking for someone with these types of skills and experience in the following areas:

  • Operations management experience, particularly in relation to knowledge and systems management.

  • Experience in enabling team learning and development, ideally in a virtual team context.

  • Experience with a CRM, ideally with Salesforce.

  • Project management experience, including using project management tools, such as ClickUp would be an advantage, as would experience supporting users through a change of systems (e.g. Google Workspace -> Microsoft) or overseeing the usage of an intranet or other mechanisms for communicating within an organisation. 

  • Exceptional organisational and planning skills, strong attention to detail, capacity to learn quickly, work nimbly and responsively.

  • Capable of appreciating compliance parameters and applying them in a user-friendly way.

  • Great interpersonal skills and ability to work closely with colleagues to develop and implement organisation-wide solutions. Ability to oversee the work of others.

  • Alignment to ACCR’s mission and values, with a desire to make a real difference to global emissions.
