ABOUT THE TEAM
The Child Friendly Cities & Communities (CFC) team works with councils to put children’s rights into practice. The CFC programme aims to create cities and communities in the UK where all children – whether they are living in care, using a children’s centre, or simply visiting their local library – have a meaningful say in, and truly benefit from, the local decisions, services and spaces that shape their lives.
ABOUT THE ROLE
As Programme Support Officer you will provide business and administrative support across the Child Friendly Cities & Communities team. You have experience of coordination, business support or administration roles, and can manage a busy workload and competing priorities, adapting quickly and confidently to change. You understand the importance of timely communication and information sharing across a small team. You have excellent verbal and written communication skills and show outstanding initiative and attention to detail. You are ready to develop new skills, including in communications, and are eager to develop your knowledge about issues relating to children and young people in the UK.
What we will expect you to achieve
Programme support (30%)
· Support Programme Director and Programme Managers with operational management of the programme
· Coordinate and support the preparation, delivery and evaluation of training, workshops and events. This includes preparing training resources and liaising with local authorities and other external partners to ensure sessions are delivered successfully
· Manage ad hoc projects including planning, activity tracking and reporting
· Support Programme Director with identification, engagement and coordination of the Recognition Committee, liaising with members and coordinating meetings
· Undertake desk research to support training content and programme development, providing the team with written or presented briefings
Team coordination and administration (30%)
· Assist Programme Director with diary management and coordination
· Occasionally coordinate and organise travel (incl. overseas), schedules and accommodation for team and volunteers
· Assist team with meeting coordination and planning, including arranging agendas, booking venues and taking minutes, ensuring actions are captured and communicated promptly
· Manage internal and external enquiries via phone or email, ensuring responses are agreed and communicated in a timely manner, potentially including sensitive disclosures
Finance and reporting (20%)
Support Programme Director with tracking and reporting on KPIs
Support Programme Director with tracking, managing, reconciling and reporting on income and expenditure
Raise CFC invoices, liaising with Finance team and external partners to ensure timely payment and recording of income
Liaise with external partners and Finance and Legal teams to process contracts
Track and process team expenses, liaising with team members and Finance team to ensure timely payment and recording
Support Programme Director with sourcing and collating information pertinent to funding
Work with Programme Managers to ensure programme tracking, management and reporting systems (e.g. SRM, Asana) are kept up to date.
Communications (20%)
Support the team’s Communications Specialist with monthly reporting on web analytics and driving traffic to the CFC website
Support the Communications Specialist in a monthly review of team meeting notes to identify and log case studies
Work with the Communications Specialist to establish a social media presence for the programme and monitor engagement and trends
Support Communications Specialist in delivery of monthly newsletter and marketing assets
Support Communications Specialist in monthly review of team meeting notes to identify and log potential case studies and other communications output
Support Communication Specialist with monthly reporting on web and newsletter analytics

Relevant experience
· Providing business or administrative support and coordination in a similar role in the charity or public sector including financial administration
· Experience of working with recording and reporting systems eg SRM or CRM software
Specific knowledge and skills
Excellent coordination and administration skills
· Desk research – searching and sifting information and presenting this in a written or verbal briefing
· Good competency with Excel and other task management software
· Some knowledge of the UK children’s sector
