Office Manager – The Modern House and Inigo

This role is pivotal to the smooth operation of our office space, St Alphege Hall. It combines office management, administration support and social/event planning, requiring someone who thrives in a varied environment and who is great at employee comms too.

Your job will be to help us create and look after a workspace that our team love working in, as well as ensuring that everyone has the best experience when visiting.

Responsibilities:

The Office Manager’s core responsibilities are to:

  • Manage a well-run, well-equipped office, including responsibility for facilities, equipment, maintenance and upkeep, security, fire regulations, insurance and health & safety procedures

  • Act as first point of contact for internal and external enquiries relating to the office

  • Plan and deliver culturally relevant and social events for the team (such as team lunches, quarterly get togethers, seasonal parties, tours and visits, talks, film screenings, etc.)

  • Manage third party relationships with contractors such as Workshop IT, working to maintain and improve the service they provide to the company

  • Identify and solve problems related to the office, or alert senior management to potential issues (equipment, health and safety, or wellbeing related)

  • Support our commitment to B-Corp registration by reviewing office practices and policies to ensure our operations are as sustainable and socially conscious as possible

  • Provide administrative support to the Managing Director (e.g. diary management, on and offsite meeting room bookings, facilitating weekly team call)

  • Work with the Finance Director to manage an effective budget related to the office, supplies and events

  • Support the People Manager with onboarding new employees to ensure an amazing employee experience from the day they join, and offboarding to close off apps and accounts

  • Support the marketing team with new joiner additions to House Notes

  • Support team workshops and training sessions

  • Arrange and order weekly in-office lunch and snack supplies

  • Provide coordination support for our commercial teams by managing the hello@ and info@ inboxes.

Knowledge & skills

Experience in office management (including IT set ups)

Proficiency in office management tools (Microsoft 365 including Sharepoint)

Experience in team event coordination and initiating social/wellbeing activities

An independent thinker who can take the initiative and act with confidence, solve problems, design solutions and adapt to changing situations

Strong communication skills with the ability to effectively manage expectations

Excellent organisational skills, keen attention to detail and the ability to manage, and prioritise, multiple and varied tasks

Successful at building and maintaining relationships with key stakeholders

Comfortable and confident with handling contractors

Team

The Office Manager reports into our Finance & Operations Director and will also work closely the People Manager and rest of the management team.
