Summary of Role

This role within the Climate and Decarbonisation team, will be key in supporting the team to function as effectively and efficiently as possible. The role will support project managers and senior managers to streamline team resourcing and support with financial administration and reporting via our CRM system, NetSuite. In addition the role will help with the smooth running of day to operations by continually looking to improve and streamline our admin systems and sharepoint sites.

 

Key Responsibilities:

Team resourcing:

  • Working closely with the team to understand their relevant skillsets

  • Engaging with the team and wider business to manage availability, track project progress and book project time.

  • Tracking new requirements for resource and identifying potential issues

  • Reporting any issues to team lead

 Team Support:

  • Weekly update of the team project tracking system with latest reports from NetSuite

  • Organisation and booking of team events such as socials and volunteering days

  • Uploading proposals and documents to SharePoint

  • Managing licences and renewals for software

  • Managing the team sharepoint site and sub-sites, ensuring it  is tidy and organised and updated

  • Assist with devising and implementing systems and processes to help manage and deliver the work of the team. E.g setting up a booking system for survey equipment.

  • Managing and maintaining team templates, fixing formatting errors on reports and spreadsheets

  • Onboarding new contractors

  • Setting up new clients within our finance systems

  • Assist with quality management and compliance activities, including process audits

Relevant experience required:

  • Approximately 1 years’ experience in a similar role

Knowledge/expertise required:

  • Knowledge and experience of NetSuite, or ability to learn quickly

  • Proficient user of Microsoft Office Suite, including Word, Excel, PowerPoint etc, as well as familiarity with MS Teams

 Skills/competencies required:

  • Attention to detail

  • Exceptional organisational and time management skills

  • Outstanding verbal and written communication skills

  • Basic knowledge of accounting and project management procedures and metrics

  • Proven experience in a related role

  • Excellent problem-solving skills, the ability to research and an aptitude for helping other people
