The Role

The Financial Reporting Team will have overall responsibility for reporting to WPP. The Financial Reporting Team will manage the overall P&L for the newly centralised agency. The newly formed Commercial Finance Team will focus on revenues whilst the Financial Reporting Team will report revenues and manage all agency costs including staff costs. The Financial Reporting team will work with the Commercial Finance team to deliver a commercially focused collaborative agency for Ogilvy UK.

This role reports into the Senior Management Accountant – Treasury

  • You will be responsible for the expenses process for the newly combined agency.

  • You will also work on the unallocated supplier invoices and the upload files for large suppliers.

The Senior Management Accountant Treasury is responsible for the hedging of foreign currency payments, cashflow forecasting, setting up new suppliers for the newly combined agency, managing the payments process and reporting on the NWC of the newly combined business. They will allocate further tasks to you in relation to these responsibilities where required.

Here’s what you’ll be doing

Expenses

  • Managing the expenses process for the newly combined agency

  • Being the key contact with Finance Plus in respect of expenses

  • Communicating the expenses policy to all staff

  • Ensuring staff are aware of the expenses policy and the timings around claims and payments

  • Correctly claiming VAT on expenses where applicable and checking staff are aware of the expectation that they obtain VAT receipts

  • Communicating with Finance Plus in relation to paying the expenses

  • Ensuring correct documentation is maintained for all expenses

  • ·Following up with any queries from staff in relation to expenses

  • Ensuring expenses claimed are in line with client contracts

  • Highlighting unusual expense claims or anomalies to the senior management accountant for further investigation

  • Ensuring costs have been allocated correctly for PSA purposes and that adequate narrative has been provided

  • Checking expenses have been signed off in line with the SOX procedure

  • Unallocated supplier invoices (including intercompany) and supplier payment problems

  • Helping the Management Accountant to liaise with Finance Plus and suppliers where there are disputes or supplier invoices that have insufficient details

  • Analyzing which issues are causing misallocation or payment problems and advising on changes to policy or process that would decrease these instances

  • Reviewing the traffic light report for all suppliers (including intercompany) on at least a weekly basis and following up on actions that are required to clear this down

Large Supplier Upload Files

  • Assisting with any queries on the supplier upload files

  • Working with Financeplus and the agency to minimize the errors in these files

Compliance

  • Ensuring compliance with Sox and other internal policies in all areas that you work on

  • Suggesting updates to internal policies and highlighting and areas of duplication

  • Assistance with all audits

Ad Hoc

  • Tasks as allocated by the Senior Management Accountant Treasury

  • Helping out with the tasks of the Finance Assistant - Suppliers where required

  • Being a key part of the new team, suggesting improvements and changes to processes and procedures and sharing ideas on efficiency 

Timesheet

  • Chase employees to submit outstanding timesheets on a weekly basis

  • Chase employees to ensure that all time has been approved
