About the Role 

This is an exciting opportunity for a dedicated and detail-oriented Registry Coordinator to join the Registry Services Department.  

In this role, you will be responsible for ensuring that all internal and external records are accurate and up to date. You will coordinate the collation and update of trainee record information, manage student finance information, and support the onboarding of trainees.  

The ideal candidate will have strong administrative skills and the ability to thrive when working in a fast-paced environment.  

This role is hybrid working, with the requirement to be at a NIoT campus at least once a fortnight.  

Corporate responsibilities:  

  • To ensure that the responsibilities of the role are carried out in a way which reflects the mission and the values of the NIoT.  

  • To be aware of and observe all policies, procedures, working practices and regulations, and in particular to comply with policies relating to Equal Opportunities, Health and Safety, Confidentiality, Data Protection and Financial Regulations, reporting any concerns to an appropriate person.  

  • To comply with all reasonable management requests. 

Key Responsibilities 

  • Responsible for ensuring all internal and external records are maintained, accurate and up to date. This will relate to assessment, financial and student records. 

  • To ensure that any changes to trainee circumstances foe example withdrawal or suspension of study are actioned in a timely manner 

  • To coordinate the collation and update of trainee record information relating to personal details, verification checks, DfE Register, assessment marks and any data relating to trainees across the trainee journey 

  • Coordination of Student Finance information including registration, attendance, bursary management and updates to changes of circumstance 

  • Coordination of systems and IT set up for new trainees 

  • Responsible for supporting with administration of the PGCE elements of the programme. 

  • To support with the onboarding of trainees, including processing DBS and prohibition checks, and internet and social media checks. 

  • Responsible for ensuring the QTS and PGCE outcomes are inputted, and the relevant reports are available to the boards of examiners. 

  • Ensuring all vetting sheets are collected and are accurate and up to date.  

  • Coordinating compliance and accurate data management of trainee data across systems and processes 

  • Effective line management of the Registry Administrator.  

Essential Criteria 

  • Strong administrative experience.  

  • Experience of accurate data input.  

  • Ability to thrive when working independently and in a fast-paced environment. 

  • Ability to manage competing priorities and work to deadlines. 

  • A commitment to the aims of the National Institute of Teaching 

  • An interest in the education sector and a belief in the value of teachers and school leaders  

  • Excellent organisational skills and attention to detail. 

  • Excellent interpersonal and written communication skills 

  • Highly proficient in the use of MS Office software packages, such as Word, Excel and Outlook, as well as search engines and online databases 

  • Highly proficient in managing and monitoring processes which drive successful delivery of programmes and reporting    

  • A sensitivity to the requirements of different audiences and an ability to adapt style appropriately   

Desirable Criteria 

  • Line Management Experience  

  • Experience within a student administration role in Higher Education 

  • A good understanding of UK higher education regulations and experience of Student Finance England regulations and processes 

  • Previous experience of working in a remote and geographically distributed team. 

  • Previous experience in the education sector    

  • Previous expertise of supporting training in the education sector, especially within ITE 

  • Previous experience of working in a remote and geographically distributed team    

  • Experience of using a management information or student record system (e.g. Microsoft Dynamics)  

  • Knowledge of KCSIE and background checks
