Right now we’re looking for an Assistant to join our friendly team. The primary purpose of the role is to ensure the smooth operation of our reception area and facilities; however you will also be responsible for ensuring appropriate set-up of meeting rooms, and for monitoring adherence to health and safety requirements within our offices.
This busy role is a great opportunity for someone who enjoys providing a comfortable and welcoming environment for guests, but who also has the appetite to get involved in broader Business Services and Facilities tasks.
Due to potential changes in our Reception / Facilities requirements during the next twelve months, this role will be offered as a fixed-term contract until the end of 2025, but there may be the possibility of extension.
What’s the job?
Reception & Business Services Admin
Oversee the smooth operation of the ABI reception, ensuring guests receive a warm welcome.
Facilitate the meeting room reservation process, keeping the calendar up-to-date and ensuring a seamless scheduling of meetings.
Manage enquiries received via the ABI consumer line, ensuring prompt and efficient responses.
Organise and provide resources for conferences, meetings, and external customer bookings, focusing on reception duties and guest management.
Provide project support and perform administrative tasks as needed, focusing on enhancing reception and guest services.
Business Services
Address tasks assigned through the Business Services Helpdesk in a timely manner, prioritising reception duties and guest experience.
Act as the main liaison for the Events team, addressing all reception-related needs, including Audio Visual setup and event support.
Manage daily mail distribution tasks, ensuring timely collection and delivery of post to staff.
Review, analyse, and present Business Services internal data, using systems such as Condeco for room bookings, and uHoo for air monitoring.
Champion environmental sustainability initiatives and promote awareness to achieve the company's environmental objectives.
Facilities
Conduct regular floor walks to monitor compliance with health and safety regulations, ensuring a secure and efficient working environment for all employees and guests.
Prepare meeting rooms before, and return to order after, events under the supervision of the Senior Business Services Adviser.
What skills do you need?
Experience
Proven experience in reception or customer service roles, demonstrating a strong commitment to service excellence.
Demonstrated interest and proactive engagement in environmental sustainability initiatives.
Skills
Excellent communication skills in English, both orally and written, with the ability to engage effectively with guests and colleagues at all levels.
A positive, welcoming and proactive attitude, focused on improving reception services and guest experience.
Meticulous attention to detail to ensure a high standard of reception and guest services.
Able to work independently on own initiative, and to resolve routine issues with minimal supervision.
Knowledge
Good understanding of health and safety regulations, with the ability to proactively identify and address potential workplace hazards. An IOSH qualification or similar would be an advantage, but is not essential.
Proficiency in the use of appropriate data analysis software, with a commitment to continuous learning and development in the field of business intelligence.
Teamwork skills and ability to work well both within the Business Services team and externally with other ABI teams.
