About You

You are a well-organised person who brings order to chaos, enjoys solving problems, loves making people’s lives easy and has an eagle eye for detail.  You are passionate about supporting a team of operational staff and campaigners aiming to solve the climate crisis.  The role will evolve as our organisation grows and will suit someone who is keen to grow and develop their skills.   

You’re flexible, love variety and are happy operating at any level.  You thrive on being the “go to” person for queries about how to get things done and you’re adept at sharing information and supporting others.  You appreciate the big picture of our mission and balance that with a high level of attention to detail and a collaborative mind-set to prioritise your work.

About The Role

This role provides general administrative support spanning Finance, HR, IT, Fundraising, Grants, and Legal functions.  In partnership with each function’s specialist lead and the Operations Manager, this role operates with a high level of self-direction and initiative in completing organisational processes and core administrative functions.

Keeping the organisation running smoothly, providing operational support to the team and the Board, liaising with our partners and suppliers and solving all manner of different problems.  Our organisation is growing and the role will evolve as the needs of the team change. As the role is part of a close knit operations team, there is scope to really make the role your own and to leave your mark on the organisation.

Key Responsibilities

Program and Operations Support

  • Supporting the Operations Manager to ensure compliance and administrative requirements are met

  • Coordinating meetings and events including booking travel, venues, and catering while liaising with participants and stakeholders.

  • Supporting the Operations Manager and HR Operations Manager in onboarding and offboarding staff

  • Supporting the Grants and Donor Relations program as required

  • Supporting the Senior Executive Assistant with logistics and administration as required

  • Communicating Operations Team updates

  • Managing and fielding Sunrise general phone calls and emails

  • Ensuring systems are tidy and up to date including archiving

Accounts administration

  • Be the point person for the contractor agreement process including drafting supplier agreements and liaising with staff/suppliers.

  • Liaising with finance partners, suppliers & project leads to ensure invoices are aligned to agreements & budgets

  • Assisting with end of month reconciliation

  • Supporting staff & fielding enquiries regarding accounts and systems (Dext, Xero etc).

Process improvement

  • Supporting the Operations Manager in process improvement, the implementation of organisational policies, and communicating changes.

Office management

  • Managing office supplies, amenities and equipment

  • Liaising with landlords, cleaners and other office service providers

  • Ensuring office/s provide a positive employee and visitor experience

  • Be the point person for office based Workplace Health and Safety requirements

Key skills, knowledge and experience    

  • Experience working in a similar operational/administrative role

  • A track record of creating and implementing, streamlined people-centered processes in line with organisational priorities. 

  • Attention to detail, accuracy and confidentiality in dealing with sensitive information.

  • Well-developed written/verbal communication, interpersonal skills and emotional resilience.

  • Demonstrated ability in organising and prioritising own workload and utilising self-initiative to 

  • Strong initiative and problem-solving capability

  • Basic level IT skills, business administration, analytical and numeracy skills

  • Excellent team working skills, with the ability to engage with a diverse range of people.  

  • Willingness to learn, develop new skills and take on new areas of responsibility 

  • A strong interest in supporting action on climate change and a commitment to social justice.
