Job Description

The Field Staffing Office Administrator provides centralized operational support to the Field Staffing Office (FSO) and field faculty. This person develops, maintains, and improves the Field Staffing team’s office systems. They ensure the timely payment of field faculty contracts, track and approve field faculty certifications, and process and approve reimbursable field faculty expenses.

What does the Field Staffing Office Administrator do?

  • Manage Field Staffing Office daily operations, including responding to inquiries from field faculty, location teams, and other departments at NOLS Headquarters. 

  • Review and process approximately 1,500 field faculty contracts per year.

  • Track faculty certifications, ensuring they are current prior to the start of a contract.

  • Process reimbursements for nearly $1M in faculty travel, faculty awards, and other reimbursable expenses.  

  • Calculate and track field faculty sick days.

  • Approve field faculty discounts for WFR re-certifications. 

  • Support Field Staffing Travel Logistics Coordinator in purchasing travel, creating travel allowances, and communicating travel expectations with instructors. 

In your first 6 months, you will: 

  • Be trained in and master all current systems and tasks involved in this position.

  • Experience working independently, organizing multiple duties, and coordinating with a large team. 

  • Excellent computer skills, preferably MAC OS and Google spreadsheets and documents. 

  • Excellent verbal and written communication skills are required. The ability to handle sensitive communications with confidentiality and integrity is essential.
