Job Description
Glasgow’s Helping Heroes provides support and assistance within the Armed Services and veterans community. Your role will be to manage the day to day running of the admin team and its functions. You will co-ordinate our client’s GHH experience and journeys, submit client’s funding applications in a timely manner, co-ordinate the ordering of client household items and maintain the financial accounts, settling invoices, co-ordinating the GHH team and their client appointments and liaising with partnership agencies such as Citizen’s Advice, Glasgow City Council and the Veteran’s Welfare Services. You will also manage the modern apprentice who will provide administrative support to Glasgow’s Helping Heroes, our clients and you. We provide in-house training as well as training to become an Armed Forces Mental Health First Aider.
Glasgow’s Helping Heroes have recently received funding to set up a third project to reduce social isolation, as well as having 2 established projects which will require the admin team to co-ordinate transport, venues, and clients.
About the team
Glasgow’s Helping Heroes is a friendly, informal team based in the Pearce Institute in Glasgow. We are currently working flexibly between the office and home with some outreach work, as guidance allows. The team at GHH work with a variety of internal and external partners including the nearby SSAFA branches and Scottish Resource Office. As our first point of contact you will work closely with the whole GHH team daily.
About you
To be successful in this role, you should be someone with experience in managing a busy office, supporting your team as well as being customer focused. You will need to be a strong communicator and highly organised as well as approachable. You must be able to bring a flexible, non-judgemental mindset and be able to remain calm in challenging situations. You must have the motivation to work alone when called for and to have a proactive and can-do approach when dealing with our clients. Whilst book-keeping experience is not necessary, attention to detail is a must and being able to communicate changes with both the team and clients is essential. You should be well versed in Office 365, specifically Outlook, Excel and Teams.
