We are looking for two exceptional administrators to join our Operations and Events Team and play a vital role in ensuring the smooth and effective running of our busy calendar of training events.

This is a busy and fast paced role, so would suit someone who is highly organised, has exceptional attention to detail, and is great at communicating both in writing and over the phone.

A typical day would see you liaising with teachers to book in anti-bullying ambassador training, packing and sending out resources to support the training (once we are back in the office), managing our trainer diaries and booking travel/accommodation.

You'll also support our main office operations - answering enquires via phone and email, sending out shop orders, greeting visitors and keeping our stationery cupboard well stocked. There will also be the opportunity to get involved in other events, from Award Ceremonies to Anti-Bullying Week, you'll play a key role in giving our young people and partners life changing experiences through training and events.

JOB DESCRIPTION

  • Manage a busy calendar of anti-bullying ambassador training events (currently online due to current restrictions)

  • To undertake key marketing duties via email, telephone and social media

  • Book travel and accommodation on timely basis for members of the training team (once we are back in schools)

  • Liaise with venues to finalise agreements, event dates and supplier contracts

  • Manage an extensive database of young people and schools, ensuring confidentiality and accuracy at all times

  • Generate invoices and track payments for events and merchandise as required

  • Manage The Diana Award's online store, fulfilling orders as required

  • Managing our info@ account and events@ email accounts on a rotational basis

  • Ensure the office runs smoothly including maintaining stationery and other supplies, greeting visitors and distribution of post

  • Support and assist across other events, work streams and projects as required

PERSON SPECIFICATION

Skills

  • Able to maintain confidentiality and to share information appropriately and professionally

  • Excellent IT skills, confident in the use of Microsoft Office (especially outlook, word and excel)

  • Excellent oral and writing communication skills with the ability to communicate effectively with a wide range of stakeholders

  • Ability to work independently and effectively as part of a team

  • Strong organisational skills with the ability to create and implement administrative systems

  • Excellent time management

  • Ability to adapt and solve problems quickly

  • Accuracy and attention to detail

  • Target driven

Experience/Knowledge

  • Experience of providing administrative support to a busy and high performing team either through work or volunteering

  • Demonstrable experience of organising and prioritising a demanding workload to meet deadlines

  • Knowledge of schools, education and issues that affect young people (desirable)

  • Knowledge of The Diana Award and services.
