Job Description

The Office Coordinator supports NOLS Rocky Mountain instructors and operations by providing logistical, operational, and administrative support. They work closely with all departments at NOLS Rocky Mountain and its associated campuses: River Base, Three Peaks Ranch, and Teton Valley. They also serve as a key administrative liaison with the People Team.

What does an Office Coordinator do?

The Office Coordinator holds a core set of responsibilities, works on a variety of recurring seasonal tasks, and implements longer-term projects. They execute established workflows to support day-to-day operations. More specifically, this role is responsible for the following:

  • Work on preseason planning and seasonal logistics.

  • Ensure employment paperwork requirements are up to date and accurate for faculty and staff on campus.

  • Maintain several campus financial systems including requisitions and field course cash travel advances. Train and support colleagues in some of these systems as well.

  • Manage content, compilation, and distribution of field course paperwork in accordance with risk management, programmatic, and educational needs.

  • Update and distribute land use permits to field course instructor teams. 

  • Manage and maintain map, medical kit, and office supplies inventories.

  • Support other departments at NOLS Rocky Mountain as emergent needs arise. This could include packing field food, issuing students gear, doing evacuation drives, and greeting students as they arrive. 

  • Supervise operations assistants during the summer season.

  • Liaise with the NOLS Information Technology department to troubleshoot basic technological problems on campus. IT skills are not required for this position, but an eagerness to lead toward a desired outcomes is.

  • Evacuation drives. This may include picking up a student from a trailhead, hiking supplies into a course, or bringing a student to a doctor’s appointment. 

  • Contribute to an environment that encourages instructors and students to feel relaxed, supported, and focused going into the field.

In your first 6 months, you will: 

  • Learn about the operations at Rocky Mountain, River Base, Three Peaks Ranch, and Teton Valley campuses. 

  • Contribute to positive field experiences for students and instructors through planning and execution of tasks on campus.

  • Support instructors as they get ready to go into the field.  

  • Contribute to a positive working environment with the Rocky Mountain in-town team. 

  • Develop positive working relationships with teammates in the Finance, IT, and People (HR) departments in NOLS’ Word Headquarters.
