External Relations Coordinator 

Term: Permanent

Hours: Full-time - 37.5hrs per week, with the opportunity for flexible working hours

Salary: £27 - £32k (depending on experience)

Location: Hybrid; minimum two days per week in the Central London office

Department: External Relations (Fundraising, Communications and Engagement)

Reporting to: Director of External Relations

Collaboration with: Mission 44’s Communications and Engagement team, Impact team, and CEO. The role also works closely with Sir Lewis Hamilton’s Management company

About the External Relations Team


The External Relations team leads on building Mission 44’s brand, raising awareness of our work and amplifying the voices of young people who face disadvantage and discrimination. The team is also accountable for engaging with Mission 44’s supporters and building two-way strategic, values-based partnerships with companies, foundations and high-net-worth philanthropic donors that give vital funds to support Mission 44’s work. The team’s vision is to leverage the unique capabilities of Mission 44 across the organisation,, utilising the profile of our Founder to deliver systemic change on a national and international scale, working closely with funders, campaigners, charities, policy leaders and academics to boost social mobility.


About the role


As the External Relations Coordinator, you will play a key role in administering a first-class Fundraising, Communications and Engagement programme working closely with colleagues in External Relations and across the organisation to support the Team’s strategic deliverables.  This includes contributing to the complete external engagement lifecycle -  from carrying out research activity on potential high-value supporters, ambassadors, funders and other key external stakeholders, coordinating content and production requests across the organisation, setting up processes to monitor, plan and evaluate fundraising and comms activity, coordinating supplier contracts, to ongoing logistics and administration to support Mission 44 engagement events. You will also support the Senior Leadership Team and Board with administrative reports to enable effective decision-making on External Relations.


Key Responsibilities


Research, planning,  project management, and administration

  • Ensure research, potential supporter and existing supporter activity and reporting is accurately captured on our CRM system and in line with Mission 44’s Data Protection and Privacy Policies

  • Manage coordination, administration and delivery of the team’s cultivation and stewardship events, including ad-hoc activities as and when required

  • Create and monitor processes and systems to deliver reports to the Senior Leadership Team and Board of Trustees

  • Support the coordination of content and production requests across Mission 44, working closely with the Communications and Engagement team to help them plan and deliver forthcoming activations, announcements and projects. This includes coordinating content briefings from and to a range of stakeholders, such as funded partners, funders, videographers, copywriters and photographers

  • Manage the organisation's media library, uploading approved digital content and stories, creating a clear filing system, ensuring the organisation has the relevant  permissions etc and content is managed in line with Mission 44’s Safeguarding Policy

  • Oversee the External Relations engagement calendars, work plans and assist in tracking and monitoring progress across key strategic deliverables

  • Support monitoring and reporting processes across the communications mix to improve and optimise outputs

  • Support reporting processes to ensure the Development Team delivers first-class cultivation and stewardship of all funders

  • Assist in the coordination, commissioning, and logistics of External Relations Team research initiatives including the research of potential funding, comms and engagement opportunities

  • Working closely with the Director of External Relations and the wider External Relations team, support the administrative planning and delivery of team strategy days, away days and other key internal meetings, including meetings with Mission 44’s wider Ecosystem



General 

  • Support the coordination and administration of supplier contracts, setting up External Relations team and key external meetings by managing diaries and room bookings on the system

  • Manage the External Relations team’s subscriptions and accounts with various marketing, comms and media suppliers 

  • Disseminate internal communications across the organisation, raising awareness of Mission 44’s work and impact  to internal audiences. 

  • Such other tasks, commensurate with the post, that the Director of External Relations may deem appropriate



About you


Knowledge and experience 

  • Experience in project and/or office management with comfort in overseeing multiple project deliverables, tracking progress, and ensuring timely and successful delivery

  • Knowledge and comfort in using a range of software, including CRM tools, grant or project management tools, Google Suites, and Excel

  • Experience in handling data, analysing information, and producing reports in different formats

  • Knowledge of fundraising and communications processes and procedures including philanthropy and partnership models (desirable but not essential)  

  • Knowledge and experience of event management and coordination, particularly events involving different external stakeholders


Skills

  • Able to effectively time manage, prioritise, and maintain attention to detail while overseeing multiple simultaneous projects and deliverables

  • Excellent written and oral skills to communicate clear directions and processes while developing and maintaining positive client relationships 

  • Confident, resourceful, and proactive with initiative and a problem-solving disposition.

  • Good interpersonal skills, particularly in the context of managing both internal and external relationships and external representation of Mission 44.  

  • Able to work creatively and flexibly in a small team, supporting other colleagues.

  • Able to analyse and synthesise complex information quickly and effectively.
