The vital work of the charity is partially enabled by income generated through fundraising; from supporter engagement and community events and activities, as well as philanthropic sources, such as trusts and foundations, and major donors.

As Fundraising Assistant you’ll play a key role in helping us to engage new supporters and helping to deliver first-class stewardship of supporters. You will provide practical administrative support, carry out financial processing, supporter care, diary management and Directorate wide project admin as needed.

Directly supporting the Community Fundraising Manager and working closely with the Supporter Engagement team it would be beneficial if you have previous experience or an interest in Fundraising. Being a confident communicator with a “can-do” approach is essential as well as being able to demonstrate proven administrative skills, the ability to manage a varied workload and be highly organised.

We offer flexible working patterns, both in terms of hours and remote working. Please note that all employees are contractually required to work from the office a minimum of 4 days a month. Some roles may be required to be in the office more often than this and this will be agreed with the hiring manager upon starting at Turn2us.

Job Description

Job Title: Fundraising Assistant

Department: Supporter Engagement          

Reports to: Community Fundraising Manager

Location: Hybrid: Turn2us London Hub (Hammersmith) & homeworking

Type of role: Full-time, permanent

Purpose of the Role:     

Working with the Community and Direct Marketing and Legacy Managers to manage gift processing, acknowledgements, the stewardship of Supporters, supporting appeals and initiatives within the supporter engagement team. Provide administrative support to the Directorate including organising events, diary management and supporting Directorate wide projects.

 Key Responsibilities and Accountabilities:

 1. Providing efficient and effective admin and financial support for appeals and activities within the Supporter engagement team.

2. Provide administrative support for directorate meetings, workshops and events as required.

3. Organise, minute and attend key team and Directorate meetings.

4. Participating in virtual and office-based team meetings.

5. Support with diary management and key meeting scheduling.

6. Stewardship of supporters – Community, Challenge events and Individual supporters; updating CRM, Beacon.

7. Providing general administrative support to the Directorate as required.

Duties:

1.     Maintain the database, Beacon and manage financial processes to support the delivery of successful fundraising campaigns.

  •  Ensure that donations from a variety of sources (postal, telephone and electronic) are recorded promptly on the Turn2us database Beacon.

  • Maintaining a scanned library of all documents supporting donation processing and gift aid claims for audit purposes.

  • Ensure that all financial controls and procedures are adhered to.

  • Perform timely and accurate regular data imports from a number of external agencies dealing with things like direct debits, standing orders and GAYE to regular deadlines and supporting Finance with the reconciliation of these imports.

  • Keep the supporter database, Beacon up to date using accurate data entry in line with existing processes as well as helping with data cleaning and process updating as required.

  • Help maintain a suite of written processes for Supporter stewardship, financial and database processes. As well as a collection of active of Thank-You letters and standard responses on the database.

  • Be responsible for all returned mail that comes into the Supporter engagement team, ensuring that updates are made and that materials are disposed of appropriately.

  • Carry out any other reasonable duties and projects as assigned by the Community Fundraising Manager.

2.     Work with the Supporter Engagement Officer to deliver an excellent supporter experience process and acknowledge gifts, manage our supporter database and respond to donations.

  • Work with the Supporter Engagement Officer to respond to donations and send out mailed and emailed acknowledgments in a timely manner.

  • Manage updates to supporter records and the creation of new records and reports to accurately analyse supporter engagement and appeal performance.

  • Engage new and existing supporters by answering all queries in a timely manner and exploring new relationships with partners and individuals.

  • Pull monthly Gift Aid Declarations to send to HMRC.

  • Manage the monthly reconciliations with Finance. Check payments are coded correctly and circulate Finance reports for each income areal to directorate.

3.     Support the Community Fundraising area with stewardship to meet their income targets and objectives.

  • Assist the Community Fundraising Manager with recruiting challenge and Community event participants, updating fundraising resources and sending out merchandise, and assessing the performance of these activities.

  • Supporting Community admin/stewardship – overseeing webpage updates, maintaining event pages and managing beacon forms

  • Thank you, supporter letters, – manage standard versions, updating for specific activities and maintaining thanking matrix for levels of recognition. 

4. Developing and improving processes and workflows to assist organisation wide fundraising efforts.

  • Provide admin support for the development of cross-organisational income generation strategy.

  • Provide internal communications support for projects.

  • Support cross-organisational fundraising campaigns and appeals.

  • Support the wider team to embed best practice.

  • Work with the IT Manager to implement useful project management tools.

5.     Providing administrative support to the Income Generation and Brand and Comms Directorate as required.

  • Provide administrative support for directorate meetings, workshops and events as required.

  • Organise, minute and attend key team meetings.

  • Minute meetings as required, and support follow up actions to be taken forward.

  • Contributing ideas for improving/ enhancing the team’s work.

  • Participating in virtual and office-based team meetings.

  • Support with diary management and key meeting scheduling for the Director of Income   Generation and Brand and Comms.

  • Upholding the values of Turn2us.

  • Being flexible in working across the team and the wider organisation as appropriate.

These are the normal duties, which the Charity requires from the position. However, it is necessary for all staff to be flexible, and all employees will be required from time to time to perform other duties as may be required by the Charity for the efficient running of the charity. Person Specification

Skills:                                    

  • Exceptional organisational skills.

  • IT literate, including the ability to use databases.

  • Excellent written and verbal communication skills in English.

  • Understanding of safeguarding.                                                                     

Knowledge:               

  • Knowledge of the voluntary sector.

  • Understanding of financial hardship.

Experience:

  • Excellent numeracy and Excel skills.

  • Good organisational and filing skills,

  • A methodical approach to data and a good eye for detail.

  • Ability to communicate clearly (written and verbally) writing clearly and accurately, including drafting routine correspondence and taking minutes of meetings.

Personal Attributes:

  • Interest in Fundraising and Stewardship of supporters.

  • Willing to work outside office hours to attend Fundraising events, volunteer at challenge events such as London Marathon or visit care homes for networking and stewardship events.

  • Highly motivated with an ability to work on own initiative and work proactively in key areas of responsibility.
