Volunteering Assistant

Dot Dot Dot is a social enterprise which allows people who do brilliant voluntary work to live in buildings that would otherwise be empty. We provide good, inexpensive housing to people who make a difference, we protect buildings for their owners, and we contribute to communities. Everyone wins.

We are looking for someone brilliant to maintain and develop our volunteering function at Dot Dot Dot. This role will have three main components: communicating with guardians about their volunteering; communicating with volunteering organisations and supporting volunteering marketing and events.

This role will strongly contribute to Dot Dot Dot’s service delivery in four ways:

  • Monitoring the submission of volunteering information on a monthly basis in accordance with our volunteering reporting process

  • Communicating with guardians and volunteering organisations by phone or email

  • Highlighting to colleagues important volunteering information across the Services and Marketing teams

  • Developing and communicating volunteering resources to guardians

Key objectives of the Volunteering Assistant

  • Reviewing volunteering information provided by guardians using our database and relevant spreadsheets to track monthly records.

  • Communicating with guardians who have not submitted volunteering information, in line with our volunteering escalation process.

  • Logging any issues with volunteering on our system and discussing with the relevant member of staff.

  • Contacting volunteering organisations to verify a guardian’s volunteering. Providing positive feedback with the property’s Dot Dot Dot Relationship Co-ordinator and the guardian.

  • Tracking progress made on the collection of volunteering information throughout the month.

  • Develop materials and resources for guardians to use to find relevant volunteering opportunities.

  • Delivering monthly introductory volunteer sessions for new guardians and following up with people who have not attended.

  • Providing volunteering information across the Services and Marketing teams to improve our internal volunteer function and storytelling to our wider stakeholders. This includes ways of recognising volunteering achievement.

  • Developing relationships with volunteering organisations, this could include supporting future volunteering events for guardians and volunteering organisations to attend.


About You

This role will suit someone who is a great communicator and has previously coordinated activities in an organisation. You may have worked in a charity or organisation with volunteers and want to use your talents for social good.
You’re likely to be able to demonstrate experience of, or aptitude for, much of the following:

  • Your interest in and commitment to our mission and values as an organisation.

  • Ability to build a rapport with a range of stakeholders

  • Work across different teams in the organisation

  • Communicating with guardians effectively through phone, email or online events.

We are interested in hearing from candidates with:

  • Customer Services experience

  • Experience of coordinating activities

  • Experience of supporting or leading inductions or events

  • Able to deal with sensitive situations

  • Computer literate and can use spreadsheets

You may also have:

  • Experience of CRM systems

  • Volunteer management experience or working in a charity or social enterprise
