  • 4 Leadership: we deliver keynotes, hackathons and our full Inclusive Leadership programme to reframe inclusion as a personal leadership responsibility

  • 5 Systems: we de-bias critical business processes such as recruitment and procurement

Included has world-class capabilities in designing and implementing programmes in the public, private and third sectors. Founded as a legacy of the London 2012 Olympics and Paralympics, we are passionate about benefitting the clients we work with. They range from world-renowned tech and finance companies to universities, charities and TV companies. Whilst a significant proportion of our clientele are based in London and the UK, we work internationally. Role

The Operations team is central to the success of smooth-running operations and efficiency across the business. Reporting into the Head of Operations, the Operations Executive provides support across the day-to-day business operations, tech, finance and people management.  As a scale up business, this varied hands-on role would suit an organised individual who is excited by the opportunity to and work at the centre of the business.

Responsibilities

  • Operations: Provide general administrative assistance to ensure the smooth running of our day to day operations

  • Tech: Be across our IT infrastructure including Microsoft 365 and Sharepoint, Scoro (our business management and CRM tool), Mailchimp, Survey Monkey. Provide tech assistance to the team and explore opportunities to innovate and improve our ways of working

  • Finance: Assist the efficient running of our business finance, including processing invoices and purchase orders, reconciling bank transactions via Xero, processing payments and staff expenses, and chasing outstanding payments.  

  • Financial Reporting: Help compile monthly and quarterly reports for the management team and our board

  • People: Handle HR administration, queries and holiday records.  Assist employee relations including professional development process and performance reviews.

  • People: Assist with recruitment including all stages of the hiring process, recruitment coordination, candidate communication and onboarding

  • Stakeholders: Develop and maintain excellent relationships with all stakeholders, including colleagues, clients, professional organisations and suppliers

  • Projects and Clients: Set up new client accounts and assist the client commercial process

  • Project Management: Deliver operations projects efficiently, against timeline and budget

  • Culture: Champion employee wellbeing by organising communications and networking, and helping to arrange company events, retreats and socials, to build company culture

  • D&I: A genuine interest in learning more about D&I

 Candidate

  • Outstanding organisational skills with the ability to juggle a range of tasks and projects simultaneously. Project management experience is desirable

  • A techie who is genuinely interested in technology and innovative creative solutions.  Proven experience of providing tech support is desirable

  • Experience in finance operations. Experience of Xero is desirable but can also be taught

  • Excellent standards of verbal, written and other communication skills; with a natural pride in your work

  • Excellent attention to detail with a hands-on, can do attitude to support the core operations of the business

  • Impact/results focused, with a genuine passion for inclusion and meritocracy, and an appreciation of the value D&I can bring to organisations and the wider world

  • Collaborative, with the ability to work cross-functionally across all levels, both internally and externally

  • A team player who puts colleagues and the work before themselves and their ego.

  • Honest and direct - a willingness to listen, learn and adapt to the Included brand where we speak truth unto power

  • Ability to challenge and hold your ground in an empathetic and non-defensive manner. Value and demonstrate humour and humility in approach
