We are currently recruiting for an Arabic Speaking Project Assistant to join our team.

About you and the role

As Project Assistant you will work as part of the Gulf team to ensure the smooth running of projects in the territory. Acting as a main point of contact for the client and internal teams, your organisational and language skills will be key to your work. Providing administrative assistance throughout the life of the project in English and Arabic, you will be a key member of the team.

This role is part of the Gulf Team at MHM.  We are a new team currently working with major clients in Saudi Arabia and Qatar, with plans to expand in the region.  We work with a wide variety of clients including private organisations, government ministries and universities.

Here’s a snapshot of what you’ll do:

  • Assist the Gulf team to deliver projects successfully, acting as a key point of contact and knowledge between the project teams and the client.

  • Arrange, participate in and follow up on project meetings (internally and externally) including, but not limited to, capturing meeting minutes, consolidating actions and sending reminder notifications and ensuring the completion of meeting actions.

  • Arrange travel for Gulf team/site visits with travel reservation and itineraries for flights, hotels, taxis, visas etc.

  • Organise workshops, focus groups, meetings, site visits including preparation of materials, room bookings and refreshments.

  • Maintenance of key project documents and upkeep of project management tool ‘Notion’.

  • Maintenance of key team databases and online folders to ensure project information is easy to find.

  • Assist in the preparation of reports, presentations and other documents as required.

  • Proof reading of documents in Arabic, making amends or suggestions as necessary.

  • Ensure deliverables are tracked and managed through the project lifecycle.

  • Assist in the design of qualitative and quantitative research tools that meet client objectives and MRS guidelines.

  • Work on a flexible schedule, including some Sundays which will also include semi-regular travel to the region to participate in client meetings.

Your skills

You'll be the right person for this job if:

  • You have native, or excellent second language, Arabic language proficiency in speaking, reading, and writing (desirable but not essential to be in a Gulf-based dialect).

  • You’re highly organised and self-motivated.

  • You're passionate about solving problems, no matter if they're big or small; and have a strong mindset of getting things done.

  • You have great attention to detail and can work to tight deadlines.

  • You are great at managing expectations, ensuring delivery of the highest quality service, and soliciting and acting on client feedback.

  • You work well in teams but can also ‘self-start’ as needed to manage your busy workload.

  • You can think critically about processes to make suggestions for improvement.

  • You’ve got good IT skills including Microsoft Office (Word and Excel etc) and are confident in your ability to get to grips with new systems.

  • You are familiar with Notion or similar project and programme management tools.

  • You have previous experience in the cultural sector, ideally in the Gulf region but otherwise more broadly.

  • You have previous research or project management experience.

  • You’re willing to learn anything new that you need to carry out your role successfully.
