Position Description: Program Assistant
Reports To: Chief Program Officer
Exempt Status: Salaried, Non-ExemptCommitment Type: Full-time ongoing
Work Environment: Hybrid, 2-3 days a week in office
Base of Operations: 1501 W Anderson Lane, Building B-1, Austin, Texas 78757

Description:
Under the supervision of the Chief Program Officer, The Program Assistant provides administrative support to the Program Team, including support for the training program logistics and administrative support for the wider team.
Essential Job Functions:
Supports logistics for core and advanced direct service trainings, forums, and peer review groups, including:
Utilization of learning management platform to create trainings, support registration, and act as technical coordinator for virtual trainings
Support for in-person trainings, including set up of the physical space for trainings and catering, basic technology support, preparation of materials, agendas, handouts, rosters, and evaluations
Collection of training data and evaluations for reporting purposes
Maintenance of online and internal training calendars
Processes post-event documents and materials including sign-in sheets, reports, evaluations and training certificates.
o Acts as back up support for training and member events.
Provides administrative support to the Program Team, including:
Processing fees and invoices to support the program team, including training
Providing travel support for program team members, including supporting travel arrangements and reimbursement process
Scheduling support and calendar management to support key program initiatives
Contract renewal support for vendors, trainers and presenters
Management of online resources, training announcements, and maintenance of center communication platform
Maintaining inventory of supplies to support program team
Performs other responsibilities as appropriate and necessary.
Minimum Educational/Professional Requirements:
A minimum of two years’ experience in administrative functions or other relevant work experience.
Strong organizational skills with an ability to prioritize and work under deadlines in a fast-paced and dynamic setting.
Attention to detail.
Skill in communicating effectively, both in writing and verbally.
Skill in working with a diversity of people.
Proficiency with Microsoft Office applications.
