Role outline          

This is a challenging, busy, and responsive role working side-by-side with the Chief Strategy Officer. The Executive Assistant will be responsible for providing high-level support, managing complex projects and engaging with a wide variety of people. This role acts as a key point of contact between the Chief Strategy Officer and internal/external contacts, coordinates cross-organisational processes and projects, and manages the office, including liaising closely with senior members of the Strategy, Participation and Corporate Services teams, and the Company Secretary.

Responsibilities

External-facing

  • Liaises with key partners on behalf of the Chief Strategy Officer.

  • Maintain a cycle of regular correspondence with key contacts, including external partners, contacts from food banks, people who use food banks, and others within the wider sector.

  • Prepares and edits correspondence, communications and other documents.

  • Creates supporting materials for presentations, talks, conferences and planning meetings (with briefing), including sourcing and preparing collateral, and formatting presentation slides.

  • Organises meetings, including occasional events.

  • Supports the organisation’s business and strategy planning cycle, helping to coordinate contributions food bank network, people who use food banks volunteers and staff.

Internal-facing

  • Manages the organisation of team leadership meetings, including preparing management reports and taking minutes.

  • Ensures the completion of team projects by following up on outcomes, and, where appropriate, completing actions.

  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.

  • Manages the implementation of internal processes on behalf of the Chief Strategy Officer, amongst both team members and the wider organisation.

  • Direct support

  • Conserves the Chief Strategy Officer's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analysing information; initiating communications.

  • Filters incoming correspondence: sorting, redirecting and taking action as appropriate.

  • Works with the Chief Strategy Officer to maintain the appointment schedule: planning and scheduling meetings, conferences, teleconferences, and travel.

  • Ensures that packages of work which require support from other teams across the organisation follow internal processes.

  • Undertakes projects on behalf of the Chief Strategy Officer and other Directors within the team.

 General

  • Develop a culture of innovation, resourcefulness and best practice to make the best use of time and skills in the team.

  • Promote collaborative working across the team and with other teams across The Trussell Trust.

  • Any other reasonable duties as specified by your line manager to support the work of the Trust.
