Purpose of Role

At Art Fund, we're implementing a new CRM system (Salesforce) which will enable Art Fund to deliver exceptional customer experiences, streamline our operations and foster sustainable growth. The solution will enhance our understanding of our members, partners and supporters, enable grant-making, and provide our team with a fit for purpose solution, aligned with our strategic objectives.​

Our current system, CRM Dynamics System was implemented in 2018 and no longer meets our needs.

The CRM Project Manager will lead the project and cross-organisation project group to ensure the effective delivery of the system, a smooth transition, equipping users to use the system effectively and supporting a shift towards a self-service model.

 Key Accountabilities

 Project Planning & Management

  • Lead the project from the planning stage through to completion, ensuring all milestones are met.

  • Develop and manage a comprehensive project plan, including timelines, budgets, and resource needs.

  • Monitor and report on project progress. Ensure effective management of risk by early identification and mitigation.

Stakeholder Engagement

  • Serve as the primary point of contact for all stakeholders, including the Project Board, SMT, the tech team, the core project team and the users’ departments

  • Report into the Project Board and ensure any red or amber risk items are raised for discussion

  • Working with colleagues to ensure effective cross organisation comms and feedback plans are implemented.

Salesforce Implementation & Customization

  • Oversee the configuration and customization of Salesforce to meet specific business requirements, including integration with other business systems.

  • Work closely with the Salesforce consultants and developers to ensure technical solutions align with the project goals.

  • Working in collaboration with the Head of Data and Product Manager, ensure data integrity, privacy, and compliance with relevant regulations.

Team Leadership & Collaboration

  • Lead the core project team, including cross functional teams to ensure smooth implementation.

  • Work in partnership with the Head of Data to ensure the effective utilisation of the data champion community on the project

  • Provide guidance and support to team members and ensure efficient communication across all departments involved.

Training & User Adoption

  • In collaboration with the Head of Data and Product Support Analyst, develop and execute a user training and support plan to drive consistent and sustained user adoption.

  • Support the delivery of workshops, training sessions, and the creation of clear documentation for end-users.

 Performance Monitoring & Optimization

  • Ensuring there is an effective mechanism for tracking and evaluating the benefits realisation plan.

  • Provide support during launch and ensure optimization of the system based on feedback and data analytics.

Other

  • To actively participate in the wider life of the Art Fund

  • To undertake other duties as requested by the Art Fund from time to time

  • To participate in sector or professional networking activities where relevant

Reports to the Chief Information Officer

PERSON SPECIFICATION

Skills/Abilities/Competencies

Excellent verbal and written communication skills.

Strong leadership and team management skills

Proven ability at working cross-organisation and leading multi-disciplinary teams

Able to build relationships and communicate with a wide range of stakeholders, technical and non-technical

Experience with project management methodologies (specifically Agile & Waterfall).

Working knowledge of IT systems, infrastructure and software development

Experience implementing CRM Systems 

Highly organised and detail oriented.

Resilient under pressure with the ability to prioritize competing demands 

Proactive and self-motivated with a willingness to learn new skills

Adaptable: able to find simple, pragmatic fixes to every-day problems and also able to reason through complex long-term issues.

Knowledge of IT governance and compliance standards 

Familiarity with change management principles

Passionate about technology and innovation

Demonstrates a strong customer-focused mindset

Proficiency in project management software

Experience

Minimum of 5 years’ experience in project management, with a focus on CRM implementations.

Proven expertise in Salesforce CRM,

Strong understanding of CRM best practices, data management, and workflow automation.
