Job Description

At Unreasonable Group, we tackle the world’s most pressing problems (such as climate change, gender inequalities, and illiteracy) by backing for-profit, high-growth entrepreneurs positioned to bend history in the right direction. We do this by connecting entrepreneurs with catalytic networks of mentors, investors, businesses, policymakers, and specialists.

Right now, our Global Managing Director is on the hunt for a GYSHIDO master of an Executive Assistant & Special Projects Coordinator. We are looking for a detailed, strategic, make-the-impossible-happen type executor who can also own, support, and deliver on a wide variety of special projects. We also need someone who is a messaging and communications guru--someone who can explain to a five-year-old (or our Global Managing Director) what Brexit is in under three sentences.

THE STUFF YOU’LL DO

  • Manage the Global MD’s constantly changing calendar across multiple time zones - scheduling meetings and managing logistics;

  • Develop and maintain an accurate contact database using Copper, ensuring personal notes and customized gifts are sent out to key contacts (e.g. birthdays, holidays, or thank you packages);

  • Own, support, and deliver on a variety of special projects that may require research, producing reports and guidelines for internal or external use, identifying, designing, and implementing new tools, and/or producing events on behalf of the Global MD;

  • Research, identify, and organize extensive lists of prospective partners, entrepreneurs, and investors etc., and reach out to them directly on behalf of the Global MD;

  • Deliver or support on delivering materials pre and post meetings - sitting in on meetings and joining calls to take detailed notes, as well as produce well-crafted follow-up and follow through;

  • Represent the Global MD in some meetings and calls with potential program, media, or funding partners;

  • Manage all incoming email and messages across multiple channels (Gmail, Slack, LinkedIn) on behalf of the Global MD, responding, organizing, and escalating priority messages when appropriate;

  • Run errands on behalf of the Global MD to ensure he has maximum bandwidth to focus on key priorities of strategic importance to the organization;

  • Manage and make seamless all of the Global MD’s travel in accordance with his preferences and schedule;

  • Prepare and manage all expense reports for Global MD;

  • Be prepared to execute all of the above tasks either in-person or remotely across many time zones as the Global MD travels ~60% of the time

  • The role will require 10% - 20% of international travel.

WHO WE'RE LOOKING FOR...

  • At least 3-5 years of working experience as an Executive Assistant or Chief of Staff in a fast-paced environment preferred;

  • You consider yourself an

    • Expert in Google Docs, Sheets, Slides, and Gmail

    • Expert or a very quick learner on CRM platforms (we use Copper)

    • Highly proficient in Mac OS and Microsoft Office

  • You have excellent communication skills and have no problem communicating on paper even the most complex things so that anyone can understand them;

  • You show great attention to detail, thoroughness, and always follow-up and follow-through on your word;

  • You are a flawless multi-tasker, able to seamlessly shift between people, tasks, modes of communication, and technology platforms;

  • You recognize that when work is done well, the magic is in the details;

  • You think and operate strategically. You are responsible for prioritization and planning. You are always three steps ahead, constantly anticipating problems and fixing them before they occur—then fixing them again when everything changes;

  • You bring a calm and can-do attitude when problems arise, doing your best to minimize the ripple effect on your team and partners;

  • You speak honestly and don’t hesitate to speak truth to power. If the Global MD is falling behind on key priorities or not being effective, you will tactfully share your thinking and suggest ways he might improve;

  • You don’t hesitate to ask for help when it is needed and long before it is too late;

  • Timeliness and punctuality are of utmost importance to you;

  • You have fun and flawlessly collaborate with teams of diverse talents and skills;

  • You are not the type of person who says, “That’s not my job";

  • You thrive in ambiguity, ask incisive questions and take a self-starter and structured approach to problem-solving;

  • You’re a voracious learner, willing to learn new things, and do whatever it takes to get the job done;

  • You are willing to work flexible hours, including some evenings and weekends;

APPLICATION TIMELINE

  • March 18th​: Application goes live. Wahoo!

  • April 5th: Your application is due.

  • April 10th - 12th: If you are invited to the next round of the process, we will schedule a 20 minute phone call with you.

  • April 12th - 17th: We will give select applicants a small “trial project” representative of the type of work associated with this position. Though we will give you 6 days to finish your "trial project," it should only take a few hours to complete.

  • April 22nd - 26th: Assuming both of us want to continue exploring the potential of working together, we’ll invite you to our London offices to meet our Global Managing Director and interview with the team in person. Simultaneously we’ll be conducting background checks and reference checks on the two to three most compelling applicants for this position.

  • May 3rd: Assuming you made it through the reference checks, you will be notified whether or not the position is yours.

  • May 15th: Ideally, those accepted will be able to join the company full time no later than May 15th.
