Job Description

The key objective to this role is to provide efficient, professional and responsive administrative support across the four departments within Wellcome Collection Operations (Visitor Experience, Marketing & Visitor Insight, Library Experience & Engagement, Conservation & Collection Care).

Main responsibilities:

  • To coordinate the planning and delivery of departmental and key business partner meetings; including diary management, booking facilities, preparing agendas and minute taking.

  • To coordinate the booking of conferences and associated travel/accommodation for all staff across Wellcome Collection.

  • To contribute to the financial management of Wellcome Collection Operations through the processing of departmental invoices, expenses and associated record keeping.

  • To help manage requests for deliveries to and from our offsite storage facility, including record keeping and communication.

  • To contribute to the planning, delivery and evaluation of events such as Get Festive, Tempting Fete, book launches and departmental celebrations. Ensuring events are carried out on time, to budget, and in line with defined success measures.

Other responsibilities:

  • To support the Visitor Experience managers with the recruitment and induction of both permanent and agency staff, monthly staff rotas and ad-hoc administrative tasks.

  • To support the successful and efficient delivery of Wellcome Collection through ad hoc projects and/or tasks as required.

  • To manage the ordering of supplies, sorting of post and general office maintenance.

  • To execute the planning and line management of work experience placements within Wellcome Collection.

  • Undertake their work in accordance with Wellcome principles and policies.

  • Undertaking any other work that may be reasonably required from time to time.

Qualifications:

  • GCSE (or equivalent) standard of English and Maths

Skills and experience:

  • Genuine motivation to learn and develop

  • A strong commitment towards successfully completing the apprenticeship

  • IT literate and skilled in using Microsoft Office

  • Excellent communication skills

  • Skilled at managing complex workloads and prioritising conflicting demands

  • Methodical and well organised approach to work with a good eye for detail

  • Proactive approach with an interest in working across different teams and developing a good understanding of the organisation

  • Flexible and co-operative with a positive ‘can do’ attitude

  • Ability to maintain a high standard of reliability and time keeping

Skills that would be desirable:

  • Minute taking

  • Skilled at using SharePoint

Next steps:

We will be holding an open event for candidates who submit a strong application to come into the office and meet with the recruiting team so they can find out more about the role and get familiarised with our office. This will take place in late January. We will then select a small number of candidates to attend an interview in February and plan to have our apprentices start in early March 2020.
