Job Description
This role is hybrid, working from home up to 3 days per week, with 2 days at our offices based in Loughborough.
We’re looking to recruit an Executive Assistance, joining the Executive Directorate to play an active role in providing administrative support to ensure the effective running of UKAD’s Chief Executive Office and additional support to the Directors team.
Key Result Areas
• Manages Chair and Chief Executive’s calendars, including planning and setting up internal and external meetings and appointments, conferences, and travel (home and abroad)
• Implement senior stakeholder engagement plan for the Chair and Chief Executive
• Support the Chair and Chief Executive by reading, researching, and routing emails and other correspondence; drafting letters and documents; collecting and analysing information; initiating communication with internal and external stakeholders
• Prepares reports and briefings by collecting and analysing information and production of PowerPoint presentations for external and internal conferences and meetings
• Coordinates weekly senior leadership team (Directors Team) meetings and prepares agenda in advance, attends and minutes meeting
• Prioritises the workload for the Chair and Chief Executive, collating information, producing briefing notes and, managing communication with UKAD Directorates and senior staff
• Prioritises external and internal communication to the Chair and Chief Executive (dealing with internal and external emails, telephone enquiries, etc)
Qualifications, Knowledge and Experience
Proven experience in Personal Assistant / Executive Assistant role at similar level
Experience of extensive minute taking at Board level
Experience of preparing briefings for meetings
Experience of managing and working to administrative processes and procedures in a fast paced, high profile environment
Experience of handling confidential and sensitive information
Skills
Highly IT literate including Microsoft Office 365
Highly organised with the ability to meet deadlines Experience in managing multiple priorities
High attention to detail
Strong verbal and written communication skills, with the ability to work effectively with colleagues at all levels
Having a flexible and adaptable approach to maintain high standards of performance
