About The Role
You will “own” the fundraising team’s Hubspot CRM-database, track and share funder deadlines to ensure that all proposals and grant reports are submitted on time, and create project timelines for each proposal or report due.


This role is critical to smooth operations of The Sunrise Project’s ambitious fundraising team. You will be joining a group of committed, supportive, fundraising professionals and be in regular communication with the finance team to help ensure that all proposal budgets and grant report spend downs are completed on time. 

As an organisation with significant future growth plans, the role requires flexibility, including an ability to keep track of multiple requests and new information, and to pivot quickly to take advantage of opportunities as they arise.

About You

You live for process, accuracy and punctuality! You've had experience managing a philanthropic or sales pipeline, and you want to put those skills to good use in helping to solve the climate crisis. You're extremely organised, comfortable with web-based CRM applications and understand the life-cycle of a contract. You're as happy to roll around in a spreadsheet of financials as you are supporting a partner with a query and you thrive when building strong relationships with internal and external stakeholders. You have an eye for detail, and are willing to take initiative to schedule and drive projects that make the process and workflows as smooth as possible for all involved. 

The role supports other members of the team who engage with funders, so ideally you’ll have some experience with philanthropy, fundraising, and/or grantmaking, or similar. 

You understand basic fundraising financials. 


Key Responsibilities

  • Owns the use and maintenance of Hubspot, our data management system.

  • Ensures that Hubspot is a valuable “source of truth” that guides fundraising operations and financial reporting.

  • Supports others in using the Hubspot system by conducting mini trainings and answering user questions. 

  • Collaborates with the fundraising and program teams to input data into Hubspot, ensuring data quality and timely updates.

  • Creates and updates Hubspot reports on pending proposals, funder pipeline value, proposals and reports due, and other reports requested by team members.  

  • Supports the Managing Director of Development to track pending proposals, pipeline value, and supports development of income projections. 

  • Develops and maintains a calendar of due dates for grant proposals, renewals, grant agreements, and reports. 

  • Creates timelines to guide delivery of proposals and reports and drives the team toward those deadlines. 

  • Alerts the finance team to produce proposal budgets and report spend downs. 

  • Contributes to organisation and team culture development, and to justice, equity, diversity and inclusion(JEDI) goals, by reflecting the vision, mission and values of The Sunrise Project 


Skills, knowledge and experience

  • Hubspot (or similar CRM) super user / administrator experience.

  • Demonstrated experience in working through a philanthropic or fundraising process, or alternatively a sales operations role.

  • Clear, direct verbal and written communication skills with experience in roles that required building and maintaining relationships with stakeholders.

  • Experience in producing and interpreting pipeline reports, managing data and supporting teams to translate information into action.
    Competency in database system administration.

  • Advanced user of MS Office or Google suite for analysing, producing and communicating data.

  • Collaborative working style with demonstrated ability to work with multiple stakeholders to a deadline.

  • A passion for supporting action on climate change and a commitment to justice, equity, diversity, and inclusion.

Job requirements

  • You must have full working rights for the United States.  The Sunrise Project Inc is unable to sponsor applicants for employment visas.

  • Intermittent travel domestically, rurally and internationally with advanced notice may be required.
