Job Description
The role will involve supporting the events team on the planning and delivery of the events programme, during a busy time as they launch a new regional event. This will include delivery of regular webinars and in-person events. The role will involve communicating with internal and external stakeholders including speakers. The Senior Associate will be required to manage multiple events and projects at the same time. This is a fantastic opportunity to join a high performing events team as they prepare for their flagship event in Brazil, as well as launching a new regional (UAE) event.Core Responsibilities
This is an end-to-end role with support needed on administration through to delivery, with the candidate required to provide holistic support across the event requirements
Event Set Up & Delivery
Deliver the logistics for PRI webinars from set-up to delivery on the day. This will include liaising with staff and external contacts including speakers and partners
Create and update event webpages
Create registration forms using FormAssembly
Research and arrange hotel accommodation for staff for in-person events.
Prepare name badges and materials for in-person events
Provide internal briefing resources for in-person event staff
Support in the delivery of in-person events onsite as needed
Delegate & Speaker Communications
Prepare and send event emails, including delegate communications and the event newsletter.
Manage delegate registrations and respond to enquiries
Support with speaker onboarding. This would include tracking speaker information, sending calendar invites, and scheduling briefing calls
Support with speaker information collation and upload to website (headshots, bios, titles, etc)
General Tasks
Track and report on event data eg, registrations, attendance, feedback
Help improve team resources on running online & in-person events
Support the events team with any other tasks or projects, including our flagship event PRI in Person, on an ad-hoc basis
Support the Director of Events in delivering against the team’s business plan and budget
Provide regular reporting to the Director of Events and Chief Marketing & Strategy Officer as required
Person Specification
Experience in event management with a proven track record of supporting online and in-person events
Excellent written communication and verbal presentation skills
Good project management skills, with experience in delivering multiple projects successfully, including directing both internal and external stakeholders
A collaborative and consultative approach to working with others & committed to fostering an inclusive environment
Demonstrates a commitment to developing others and a growth mindset, actively pursuing continuous professional and personal development
IT/Digital skills (Microsoft Office, website management systems, CRM, social media, webinar platforms, form builder.) Experience using Salesforce and BrightTalk an advantage.
Experience working in the UAE would be an advantage.
As this is a global role, international travel may be required.
