Core to our work is delivering and hosting world-class events and programs such as Unreasonable Impact in partnership with Barclays and Unreasonable GOALS with the U.S. State Department. For these intensive programs, we bring together a hand-picked portfolio of the best-positioned entrepreneurs and technologies in the world to solve an identified global challenge. The job of these programs is to drive huge resources into the most effective growth-stage entrepreneurial solutions around the world. We are now on the hunt for an Experience Production Coordinator to assist the Experience team in managing the logistics in the lead-up to, throughout, and post our programs. The Coordinator will be tasked with supporting event logistics management, ensuring we are operating as a well-oiled machine that never drops the ball, and fostering a high caliber of delivery across all interactions. This person needs to do well with ambiguity and thrive in fast-paced and highly stressful situations, as they are helping to orchestrate many moving pieces and people in a high-stakes environment. This person needs to be an excellent communicator, logistics guru, and executer. WARNING: This job involves significant international travel, as our programs run globally. RESPONSIBILITIES
Support with logistics, planning and delivery for 6-12+ programs and events a year across multiple continents
Coordinate across various teams at Unreasonable using communication platforms [Asana, Slack, Google Docs, Unreasonable.App, AirTable, etc.] to ensure a seamless planning process
Manage logistics (hotels, flights, private dining rooms, etc.) for one-off and smaller company events, including dinners and 1-3 day workshops
Research, book, and manage travel (flight, hotel, ground transportation, train, boat) for all program participants including Unreasonable team, Unreasonable Fellows, and program guests (~100 people per program)
Manage relationships with travel vendors/services, setting up business accounts as needed (airlines, car services, etc) and tracking this information in a shared document
Meticulously populate and update all travel + logistics spreadsheets
Manage rooming lists, liaising with team, program guests and venues as needed to ensure sleeping accommodations are appropriately assigned and any special requirements are met
Liaise with high-profile guests, via email or phone, on all travel communication and field any special requests in the lead up to the program
Track travel and adjust plans accordingly, including cancellations, alterations, and unforeseen setbacks
While on-site at program, monitor the arrival and departures schedule, ensuring you are the source of truth for who is on-site at all times
Develop clear language around logistics to be included in program FAQ documents and invitations
While on-site at program manage room drops and the dinner seating chart, share guest dietaries with F&B team and support on smaller detailed tasks as needed
Research venues, vendors, and other elements that are critical to programs’ success
Support Experience teammates on event production elements as needed

You thrive in juggling a plethora of communication methods (calls, chats, emails, google docs comments)
You are highly skilled with adopting new technological platforms (bonus points for previous experience using Slack, Asana, Airtable, Notion, Mural, DocSend)
You don’t just double-check your work, you triple and quadruple-check because there’s no other way
You are comfortable with minimal direction and high expectations
You are equally able to work alongside a partner or team as well as have the ability to take full ownership of a project from start to finish

TIMELINE
October 3: Application goes live.
October 18: Your application is due.
October 23-October 25: If you are invited to the next round of the process, we will schedule a 25-minute phone call with you.
October 26 - 31: We will give select applicants a small "trial project” representative of the type of work associated with this position. Though we will give you a week to finish your "trial project," it should only take a few hours to complete.
November 6 - 10: Assuming both of us want to continue exploring the potential of working together, we'll invite you to meet with our team for interviews.
November 13 - 17: Simultaneously we’ll be conducting background checks and reference checks on the two to three most compelling applicants for this position.
November 20: Assuming you made it through the reference checks, you will be notified whether or not the position is yours.
January 2: Ideally, those accepted will be able to join the company full-time. That said, we will work with the selected candidate to ensure a smooth transition from their old job to new one on a timeline that works best.
