Job Description

Become a Team Assistant with the Behavioural Insights Team Australia.

Salary: AUD$60,000 - $70,000

Job type: Full time permanent

Location: Sydney. Currently working from home under COVID restrictions, and flexible/hybrid work arrangements are available going forward.

Are you an organised go-getter who thrives in a busy and varied position? Are you keen to use your administrative, interpersonal and communication skills to support a passionate team to create social impact? If so, then this dynamic role might be for you!

We’re looking for a standout team assistant to support our Sydney team. This is a role where you can apply and grow your skills across a range of business functions, including senior management support, operations, HR and more!

So who are we? We are The Behavioural Insights Team (BIT), a world-leading global consulting and research organisation and the world’s first ‘Nudge Unit’. We work with governments, NGOs and organisations to create social impact by taking a behaviourally-informed approach to improving policies and services.

We are committed to creating an inclusive workplace and building a diverse workforce. We strongly encourage applications from all backgrounds, including Aboriginal and Torres Strait Islander people, LGBTQI+ people, and people with a disability.

About you

If you’re excited by the idea of working for a social purpose-driven organisation, want to help champion a connected and collaborative team culture, and enjoy being the ‘go-to person’ that keeps things running smoothly, then you’re the person we’re looking for.

This role provides critical administrative and coordination support to our senior management team, Operations and HR team, and broader advisory team. It would suit an all-rounder with 1-3 years of previous administrative experience who is keen to develop their skills across a range of business functions, and play a key role in managing the day-to-day life of our Sydney office and team.

What you’ll need

To be a Team Assistant with BIT, you’ll need:

  • To be able to work across multiple focus areas and manage competing priorities effectively — you’ll be involved in many different areas of the business, so you’ll need to prioritise and manage your workload

  • To have a collaborative and flexible approach to teamwork — you’ll be working closely with staff across all levels on a range of different activities, and you’ll need to pitch in and support others with ad-hoc requests as they come up

  • To be self-motivated and able to work autonomously to deliver your work

  • Strong communication and interpersonal skills — this is a real ‘people person’ role, so you need to be confident in interacting with the team and other stakeholders

  • To be able to meet deadlines and work under pressure — you’ll need strong organisation and time management skills

  • The ability to learn and comprehend new material and information quickly and efficiently — you’ll be constantly learning new things and stretching yourself!

  • Strong IT skills and ability to apply these across a range of platforms, including Office Suite or G Suite

  • 1-3 years of administration experience, preferably (but not necessarily) in a small business or consulting or professional services firm

What you’ll be doing

As our Team Assistant, you’ll be responsible for a diverse range of tasks, which means no two days are the same. Some of your key areas of responsibility include:

  • Executive support to the senior management team (30%) — including managing the Managing Director’s calendar and inbox, processing expenses, coordinating travel, preparing materials for meetings and presentations, and being responsive to other ad-hoc requests from the Managing Director.

  • Office coordination (20%) — including managing equipment and stock, maintaining the office environment and coordinating services and suppliers, managing WHS policies and processes, liaising with IT support as needed, and supporting the logistics for our 2022 office relocation.

  • HR and Operations support (30%) — including coordinating recruitment activities, supporting staff onboarding and offboarding processes, and championing team culture and staff engagement by organising team events and activities

  • Team administrative support (20%) — including organising team meetings, organising catering, coordinating training events as required, and supporting project teams with ad-hoc project-related tasks as required

Why work for BIT

  • While we work in a fast-paced field, we provide a supportive environment with a welcoming and friendly team, where you’ll learn and grow with on-the-job training — our people are our best asset!

  • We encourage flexible working and have a culture which enables this. This includes flexible start and finish times, and an IT set up which allows for easy working-from-home options. We are also willing to consider part time or a job sharing arrangement.

  • We offer a range of benefits, including a health and wellbeing allowance, Employee Assistance Program and other wellbeing services, a phone allowance, and a generous paid parental leave policy.
