Job Description

Key Responsibilities and Accountabilities:

 1.    To provide diary management – arranging appointments and meetings and ensuring that the Chief Executive is adequately briefed and has relevant papers; planning events; organising travel; prioritising emails; and replying to requests for information.

2.    To coordinate and administer all meetings and processes required for the production of the annual operational plan.

3.    To assemble and/or prepare papers, to conduct research/analysis as required.

4.    To draft correspondence, make telephone calls and attend meetings as requested by the Chief Executive.

5.    To maintain and update clear and effective filing, records and other administrative systems.

6.    To manage the effective recording and handling of complaints, concerns and compliments received by the Chief Executive.

7.    To ensure that all correspondence and written reports are produced in a timely and accurate manner.

8.    To coordinate, attend, take minutes and track actions for the Organisational Leadership Team and Organisational Management Team meetings and other meetings as required.

9.    To follow up on actions from meetings on behalf of the Chief Executive, ensuring that they are addressed by the appropriate people within agreed timescales.

10.  To support the Chief Executive with the organisation and detailed planning of events such as away days.

11.  To manage and maintain the administration and register of organisational memberships.

12.  To support the Board Secretary in the management and minuting of governance meetings.

These are the normal duties, which the charity requires from the position. However, it is necessary for all staff to be flexible and all employees will be required from time to time to perform other duties as may be required by the charity for the efficient running of the charity.  This job description is non-contractual. It will be reviewed from time to time and may be subject to change.

The postholder will take responsibility to integrate safeguarding into all aspects of their work, complying with organisational policies and frameworks.

 The post holder will be expected to ensure that their work complies with contractual terms and conditions, the Charity’s policies and procedures and key legislation, including the General Data Protection Regulation (GDPR) and charity law.

Person Specification

Skills:

·         Highly organised, able to plan proactively and prioritise work

·         Excellent oral and written communication skills.

·         Good interpersonal skills: able to establish and maintain excellent working relationships with internal and external stakeholders.

·         Proficient in Microsoft Office suite (Outlook, Word, Excel and PowerPoint), CRM databases and virtual meeting products

     Knowledge:  

·         Substantial experience working as an Executive Assistant to a senior executive or comparable work

·         Experience of organisation of meetings, travel arranging, diary management and email management.

·         Ability to take concise, accurate and efficiently produced minutes of meetings.

·         Ability to work under pressure and deliver outputs in a timely and appropriate manner.
