Job Description
This role will support the PRI events team both operationally and commercially on PRI in Person. This is an excellent opportunity to work on an exciting, multi-stream event that regularly convenes over 1,500 delegates internationally from across the world. The role might require some occasional support on the wider PRI events portfolio including regional and online events.
The chosen candidate will demonstrate a professional attitude towards their work. They will deal with a demanding workload and be able to prioritise tasks and manage their time appropriately, whilst exhibiting a positive outlook throughout. The candidate will be joining a collaborative, hard- working and friendly events team, and will often be the first point of contact for internal and external stakeholders’ event-related queries.
Core Responsibilities
Logistics
Delegate queries
First point of contact for all delegate queries: handle all phone and email communications effectively, efficiently, professionally, and maintain support as required in the run up to the event
Oversee staff and speaker in-person registration, investigate/solve issues and ensure processes run smoothly
Track discounts codes used, check validity of discount requests, liaise with other relevant teams and direct requests to the Events Director as needed
Revenue tracking
Track delegate payments, and chase overdue payments
Update the PRI in Person event dashboard on SalesForce (CRM database) and create new reports where relevant, with assistance from the Events Manager and supporting team.
Other logistics
Manage the Asset Owner (AO) grant application process, set up the application form, review grant requests, coordinate approvals in collaboration with the Events Manager, oversee the reimbursement of AO delegates post-conference
Arrange transportation of goods to PRI in Person in a timely manner
Support with integration of CRM and PRI in Person platform, including testing, attending meetings, review of processes and documentation and collaborate with IT team to improve registration pathways as relevant
Provide regular reporting to the Senior Event Manager and Director of Events as required (assisted by the Events Manager initially)
Assist with post event comms and feedback gathering including from sponsors to support full post event analysis
Create and manage FormAssembly forms to support wider PRI events
Assist events team (including head of sponsorship) with any other tasks on an ad-hoc basis
Commercial
Sponsor Campaign Support
Provide support to the Head of Sponsorship during the contracting phase of the campaign–facilitate contract administration, also supporting with sponsor communications
Handle all aspects of sponsor delegate registration, track various types of registrations, and coordinate with Sponsors to chase specific details when needed and be first point of contact regarding anything registration.
Create discount codes when needed and share with sponsors
Invoicing & Reporting
Manage bulk registrations for sponsors, ensuring accurate invoicing.
Create and send invoices, coordinating payment with sponsors, linking payments to individual attendees in Salesforce (SF) and aligning these with registration details and integrations.
Maintain organised files for each sponsor's invoice and attendee records
Produce detailed reports for sponsors as part of their agreement. These reports will include attendee lists, regional breakdowns, and other key statistics for the head of sponsorship to share.
Coordinate the delivery of post-event statistics for sponsors
Person Specification
Demonstrated experience in delivering events, gained through professional or personal experience.
Motivated to work in events management
Excellent attention to detail
Superb verbal and written communication skills
A friendly, approachable professional attitude
Comfortable with technology and able to get to grips with new systems quickly
Proactive, organised with ability to work independently and prioritise own workload
International travel is required
Efficiency in the Microsoft office suite in particular Excel, Word and PowerPoint, additional experience with Salesforce or similar CRM systems is a bonus.
