 Job summary

 Line managed by the Events and Engagement Manager, you will be tasked with delivering client services, administrative tasks and operations logistics for a packed-out schedule of events. You will need to be involved in every step of event delivery such as planning, operations and stakeholder management. You will also work closely with CFA UK’s community of volunteers who sit on committees and working groups and are instrumental in everything the society does. A typical week includes scheduling new events; handling enquiries and bookings; building event web pages; running webinars and live events; and providing guidance to an online community. Events often take place in the evening so you will be expected to work onsite some evenings. This is a fast-paced job in a small, close-knit organisation so you need to be able to work with agility.

 

Key Responsibilities

 Event administration

  •  You will be the first point of contact for event enquiries by email and phone, supporting customers including members and stakeholders from across the investment sector.

  • You will lead on end-to-end management of the registration process for events, supporting customers when they face issues and working with the IT and Digital team to resolve any problems (complete training provided on how to manage the registration process).

  • You will maintain and regularly update the event summary report and support the Events and Marketing Manager in more detailed reporting and evaluation to evolve the event programme strategy.

 Event delivery

  • You will coordinate events proposals as they come in both from volunteers and from your colleagues, making sure that relevant checks and approvals take place before events are scheduled.

  • You will manage the events calendar so that events do not clash with each other or other key activities. You will work with volunteers and staff to temporarily hold dates as appropriate and confirm clearly when the deadline for holding a date has passed.

  • You will work with volunteers, speakers and colleagues to obtain event descriptions that can be honed into marketing copy for each event. You will be supported by your team and the wider Customer Experience Team including the Marketing Team to finalise event copy.

  • You will manage the process of putting events online so they are available for customers to book onto (complete training provided).

  • You will manage the programme of webinars, ensuring that registration data is loaded to the webinar system and helping to resolve any issues customers face in accessing webinars.

  • You will take the lead on delivering several in-person events throughout the year by coordinating volunteers, speakers and stakeholders to produce high quality events.

  • You will identify, evaluate and book venues including negotiating venue contracts and costs.

  • You will manage event speakers to ensure they are well prepared and meet deadlines for submissions.

  • You will provide a high standard of onsite management at events, making sure things run smoothly and that attendees have a positive experience.

  • You will work with staff across the organisation to secure their attendance to events, particularly in providing support to you and the Events Manager in working onsite at evening events.

 Essential experience

  •  You have experience in events administration and delivery in a corporate environment such as a B2B events organiser or a professional body.

  • You have experience in addressing customers queries by phone and email.

  • You have experience in using MS Office and are competent with MS Outlook, MS Word and MS Excel.

  • You have some experience in managing event registration data in a CRM system (we use Dynamics so it would be particularly useful to have knowledge of this system)

Reports to:        Events and Engagement Manager

Location:           Boston House, New Broad Street, London, EC2M 1JJ

Contract:           5 days a week on a Fixed Term Contract

Salary:              £37,400

Start date:         As soon as possible

 

Working hours

-        Typical working hours are 9.30am to 5.30pm, Monday to Friday (with additional hours needed at month-end)

-        Hybrid – 3 days a week in the office
