Job Description
JOB PURPOSE
As a member of the People & Culture (P&C) team and working closely with the HR Coordinator, the People and Culture Coordinator provides high quality administration and coordination as first line of support for all staff on HR/people related queries in line with organisational policies and best practice. The P&C Coordinator will focus their support on the implementation of organisational initiatives, including L&D, our wellbeing offer and lead on team communication with the wider organisation.
KEY ACCOUNTABILITIES
ORGANISATIONAL DEVELOPMENT
· Work closely with the HR Manager and Head of People and Culture on organisational development and change management initiatives, supporting on the delivery of specific projects.
· Support the learning and development across the organisation for all staff, such as procurement of training providers, and organising associated logistics.
· Develop and deliver communications materials to promote OD initiatives, such as presentations and social media messaging to all staff and external stakeholders.
· Play an active role as agreed with staff groups (currently Wellbeing Supporters, People Champions, EDI Group) working closely with the Head of People & Culture and HR Manager to implement specific initiatives linked to HR and organisational development
· Work closely with the HR Manager and Head of People & Culture to support organisational development strategies, helping to improve staff morale and culture by planning training for staff on, for example, L&D, EDI, and other team-building activities.
· Act as a point of contact for staff to plan organisational learning sessions, e.g., Brown Bags, and ensure these have been well organised and circulated amongst all staff.
EVENTS, CULTURE BUILDING AND TEAM COMMUNICATION
· Lead on the planning and execution of Town Hall events, organising the logistics, including venue hire, AV, agendas and ensuring communication with staff.
· Work with the Head of People and Culture and Operations and Change Manager on initiatives to improve internal communications and storage of information management systems.
· Support internal communications within the organisation, providing advice and guidance to staff when needed.
· Maintain the relevant pages of the website related to P&C, working closely with the Communications team to ensure it is kept up to date.
· Lead on the delivery of P&C newsletters and events on a regular basis.
P&C coordination and team support
· Work proactively with the HR Coordinator to manage the People & Culture inbox on a regular basis, ensuring queries have been dealt with in a timely manner.
· Cover for the HR Coordinator and other team absences as required on general P&C co-ordination activities (e.g. recruitment and onboarding, HRIS updates, payroll), ensuring that there is always a first line support response to staff, in line with service agreements.
· Act as a second checker for the HR Coordinator for documents, as required
· Provide surge support and advice on cross-organisational initiatives as required.
· Keep up to date with the work of the P&C team, and wider organisation– enabling team collaboration and reducing silo working.
· Other duties as are reasonably required within the scope of role.

PERSON PROFILE
SKILLS AND EXPERIENCE
ESSENTIAL
· Experience of working in a generalist HR administrative/coordination/officer role in a fast-paced environment
· Experience of managing and coordinating HR led events and training
· Experience of coordinating recruitment
· Excellent communication skills
· Experience of working with HRIS
· Excellent organisational and attention to detail skills
· Confidence in using your own initiative
· Strong IT skills (Microsoft Excel, PowerPoint, Word, and Video Conferencing Tools)
· Great team player with flexibility to adapt to changing demands.
DESIRABLE
· Working towards or willing to work towards CIPD Level 3 Qualification, or equivalent
· Experience working in the humanitarian sector.
· Experience working in a small medium start-up organisation
· Experience of working with online recruiting tools e.g. Be Applied
· Experience of working with globally based staff
