Job Description:

This role will support the PRI events team in preparing for and delivering our annual event, PRI in Person, taking place in Toronto, 8-10 October 2024.  The post-holder will be responsible for a range of administrative work to support the planning of this conference, and will join as a critical member of the wider events team. This is an excellent opportunity that will allow the candidate to gain real-life experience in the events sector, on an exciting, multi-stream event that is expecting attendance from 2000 delegates from over 50 countries globally.

The chosen candidate will demonstrate a professional attitude towards their work. They will deal with a demanding workload and must prioritise tasks and manage their time appropriately, whilst exhibiting a positive outlook throughout. The candidate will be joining a collaborative, hard-working and friendly events team, and will often be the first point of contact for internal and external stakeholders’ event-related queries.

The events intern will provide essential administrative support across various aspects of preparing for and delivering the annual conference: ‘PRI in Person’.

Core Responsibilities

  • First point of contact for all delegate queries: handle all phone & email communications effectively, efficiently, professionally

  • Offer comprehensive support to delegates throughout the registration process. Handle delegate inquiries with expertise, covering topics such with the delegate registration system and deal with delegate enquiries via email and phone, such as queries related to the registration system, discount codes, cancellation, substitution, waitlist and general conference information requests

  • Track discounts codes used to register for PRI in Person, check validity of discount requests, liaise with other relevant teams and direct requests to the Events director as needed

  • Support with providing tailored visa invitation letters for delegates and keep accurate records of these

  • Track delegate payments, and chase overdue payments

  • Using the supporting systems, track sales and allocations of all different ticket types, to ensure we stay on top of ticket revenue

  • Review Asset Owner grant requests in collaboration with the Events Manager and help to process the reimbursement of Asset Owner delegates post-conference

  • Update the event dashboard on SalesForce (CRM database) and create new reports where relevant, with assistance from the Events Manager and supporting team.

  • Arrange transportation of goods to events in a timely manner

  • Provide regular reporting to the Senior Event Manager and Director of Events as required (assisted by the Events Manager initially)

  • Assist events team with any other tasks on an ad-hoc basis

Person Specification

  • Demonstrated experience in delivering events, gained through professional or personal experience.

  • Motivated by the work of PRI

  • Motivated to work in events management

  • Excellent attention to detail

  • Superb verbal and written communication skills

  • A friendly, approachable professional attitude

  • Comfortable with technology and able to get to grips with new systems quickly

  • Proactive, organised with ability to work independently and prioritise own workload

  • International travel is required

  • Efficiency in the Microsoft office suite in particular Excel, Word and PowerPoint, additional experience with Salesforce or similar CRM systems is a bonus.

TRAVEL and Start Date

In this role, international travel is required. The post-holder will be expected to attend the conference in Toronto, travelling to the location approximately 2 working days before the start of the event and coming back the day after the end of the conference (approx. travel dates 5-12 October 2024).

This is a fixed term contract and the successful candidate will need to be available to start asap, and at minimum by 20 May 24.
