Job Description

About the role

We’re looking for a Recruitment Coordinator to help run the day-to-day operations of hiring at dxw.

You’ll coordinate our recruitment activity end to end - from getting job adverts live to onboarding new starters - and make sure candidates have a clear, fair and well-organised experience throughout the process.

You’ll also own our vetting and pre-employment checking processes for both permanent and contract staff. Accuracy, confidentiality and good follow-through are essential.

We’re a small People team, so this role is varied. During quieter hiring periods, you’ll also support with general HR and people administration tasks. There’s plenty of opportunity to learn and gain exposure to different areas of HR over time.

You’ll report into the Senior People Partner and where needed, also receive support and guidance from the rest of the team.

Key responsibilities

Recruitment coordination
  • Coordinating end-to-end recruitment campaigns

  • Getting job adverts live and keeping listings updated

  • Managing roles through our applicant tracking system (Applied)

  • Scheduling interviews and (in some cases) work simulations across multiple diaries

  • Supporting hiring managers and interview panels through the process

  • Sending offers and contracts

  • Keeping recruitment records accurate and up to date

Candidate experience
  • Acting as the main contact for candidates throughout hiring

  • Communicating clearly and promptly at each stage

  • Sharing outcomes and feedback with candidates

  • Helping ensure a fair, consistent and well-run process

Vetting and checks
  • Owning vetting and pre-employment checks for permanent and contract staff

  • Coordinating right-to-work and background checks

  • Tracking progress and following up where needed

  • Handling sensitive information carefully and confidentially

Systems and process
  • Learning and following dxw recruitment processes and tools

  • Using our ATS (Applied) consistently and accurately

  • Suggesting practical improvements to coordination and admin processes

Wider People team support
  • Helping with onboarding processes and administration

  • Supporting with general HR and office admin tasks during quieter hiring periods

About you

  • You have demonstrable experience managing the recruitment lifecycle end to end - from getting adverts live through to offer and onboarding - either as part of an HR/People team or in a standalone recruitment coordination role

  • You’re highly organised and process-driven

  • You’re comfortable managing multiple vacancies and timelines at once

  • You communicate clearly and professionally with candidates and hiring managers

  • You build positive working relationships quickly

  • You’re detail-focused and reliable with administrative work

  • You pick up new systems and processes quickly

  • You’re adaptable and willing to support outside your core remit when needed

  • You handle confidential information responsibly

About dxw

We’re an employee-owned agency of technology, design and delivery experts who work primarily with public and third sector organisations to build usable and accessible digital services that fit seamlessly into user’s lives.

We help organisations like the NHS, the Department for Education, and Citizens Advice spend less money on technology, so that they can spend more on helping the most vulnerable. We aim not only to produce better services, but to radically and permanently improve people’s interactions with government to make it a better instrument of good.

Recent projects include improving access to adult social care, supporting rehabilitation of people leaving prison, and many more.

One of the things that makes us different is that we are employee-owned, so we are not beholden to external shareholders, and are protected against being taken over by private equity. It also means we can prioritise being an inclusive employer, reducing our impact on the planet, and working in the open.work. We particularly encourage applications from people who are underrepresented in tech and/or looking for flexible working arrangements.
